Description We are looking for an Office Services Associate to support daily back-office operations for a client site. This is a contract position focused on delivering dependable copy, mail, intake, and general office support in a fast-paced work environment. The ideal candidate brings strong customer service skills, sound judgment, and the ability to manage multiple priorities while handling sensitive materials with care.
Responsibilities:
- Manage incoming office service requests by reviewing instructions, confirming ticket details, and recording work accurately in designated logs.
- Provide day-to-day support across reprographics, mail handling, and intake activities while following established site procedures and service standards.
- Organize assignments based on urgency and service commitments to ensure completed work is delivered on schedule.
- Communicate promptly with supervisors or clients when deadlines, job specifications, or service issues require clarification or escalation.
- Perform basic troubleshooting on office equipment and replenish paper, toner, and other supplies to keep operations running efficiently.
- Check completed work for accuracy and quality, including reviewing your own output and supporting quality control across the team when needed.
- Follow workplace policies, including confidentiality, appropriate conduct, and efficient use of equipment and materials.
- Assist with additional office support functions such as hospitality, reception, or audio/visual coordination as business needs require.
- Handle physical production tasks that may involve standing for extended periods and lifting materials or boxes weighing up to 50 pounds. Requirements
- High school diploma or equivalent required.
- At least 1 year of experience in office services or administrative support, ideally within a legal, banking, or large corporate setting.
- Working knowledge of copy, mail, intake, and other general back-office procedures.
- Strong customer service and interpersonal skills with the ability to work effectively with clients and internal teams.
- Excellent attention to detail, time management, and organizational abilities.
- Ability to protect confidential information and exercise sound judgment when making routine decisions.
- Problem-solving skills with the ability to recognize when issues should be escalated.
- Comfortable working in a fast-paced environment, including overtime or varying shifts when needed.
