Full Job Description Role Overview:
Service Dispatcher coordinates and handles all service repair orders daily in the service department. The Dispatcher is responsible for coordinating with other service department staff members such as technicians and Service Advisors to ensure that repairs are completed within specific time frames. This role requires strong organizational skills, attention to detail, and the ability to thrive in a fast-paced environment.
Key Responsibilities:
Schedule shop work to facilitate maximum productivity in accordance with dealership policy and technicians' skillset. Prioritizes and controls all comebacks to ensure proper and prompt attention. Ensures proper repair order documentation (i.e. complaint, cause and correction noted on every repair order with punch times for each operation). Prepares estimates when required (internal work). Works with the shop foreman (when applicable) [to] ensure(s) that technicians follow warranty material disposition procedures. Advises Parts and Service Managers of repetitive shortages so that corrective action can be taken. Manage and optimize technician schedules to maximize efficiency and meet customer expectations. Maintain clear and effective communication between technicians and service Advisors to provide updates on service repairs and to recommend solutions for any issues at hand. Evaluate service requests and prioritize them based on urgency, customer requirements, and resource availability. Accurately record and maintain detailed records of dispatch activities, technician availability and proper distribution of major services. Address and resolve any challenges or conflicts that may arise during the dispatch process to ensure customer satisfaction. Maintains a clean and organized work area. Work closely with other departments, including customer service, sales, and technical support, to ensure seamless coordination and communication. Understands, keeps abreast of and complies with federal, state and local regulations, such as hazardous waste disposal, OSHA Right-to-Know, etc. Contribute to the overall success of the motor group by working with all teams and departments collaboratively and professionally with a positive attitude. Be at work on time or early (no exceptions). Be team-oriented with a desire to achieve both individual and collective goals. All other duties assigned by management.
Education/Experience Requirements:
High school diploma and/or GED (General Education Degree) is required. A strong understanding of automotive technology and the automotive industry is a plus. Computer and communication skills must be at an intermediate level. Employee must have basic to intermediate mathematics skills. Strong decision-making ability and organization are required. Employee must have attention to detail. Employee must be able to read, write, understand and speak English. Training and Certifications required (to be started upon hire): Manufacturers Certification for the job described. Engage with PMG training platform(s) (I.e. Leadership training, Microsoft 365, etc.) Work with any training the dealer group is currently utilizing. Employee must have a valid U.S. Driver's License.
Physical Requirements:
Employee must be able to sit/stand for long periods of time. Use their hands to handle, control or feel objects, tools, or controls. Repeat the same movements for over 8 hours a day. Occasionally need to lift boxes up to 20 lbs. Occasional bending, walking, and mobility will be necessary. Employee must be able to get in and out of vehicles and shovel/ assist with snow removal when necessary. Ability to stand, walk, climb, stoop/bend, and reach is required. Employee must be able to speak clearly and repetitiously for over 8 hours a day.
