Job Description

Job Summary:
Assists the Director and the Managers of Weddings & Events with performing the following administrative functions; answering calls and emails, managing team spreadsheets, organizing site tour material for the Director & Managers of Weddings & Events, gathering of event details and writing BEO's, interacting with the Culinary Department; sharing & transferring all information to the Venue GM's and acting as a bridge position between the Events Team and the Culinary Department. Attending weekly pre-function meetings and relaying all event details to all involved staff members, confirming details with the clients, creating client profiles in RTP and submitting deposits with the accounting department. Available, as needed, to be on site for Weddings and Events to ensure the success of events, ensure that event is following the approved BEO and to ensure the client's needs are exceeded. Assists with all intercompany and membership event BEO's and communicates the details to the Venue GMs.
Essential Duties & Responsibilities:
Assists the Managing Director & Managers of Weddings & Events with the planning of all weddings, corporate, group sales, member and internal departmental events: Answers calls and emails from prospective clients—sends out appropriate collateral BEO requests, management and distribution Handles deposits, client insurance, and entering clients in RTP Processes client contracts and manages pending events Courteous & professional treatment of Vendor relations and maintaining a preferred vendor list for the department Coordinates with the Managing Director and the Managers of Weddings & Events on all event details Create reports and spreadsheets as requested Works to ensure a guest experience that exceeds the guest's expectations Final Walk-Throughs & Tastings as needed Being onsite prior to guest arrival to ensure proper set up as needed Works with wedding photography, photo accumulation, and actively updates photos across our sales platforms Assists director and sales managers with current marketing projects and social media platforms as needed Greeting Guests onsite & making sure details are executed properly as needed Assists Director & Managers with potential clients on site tours of TSG and Peaks venues as needed Attends weekly BEO Meetings & Weekly Staff Meetings Courteous & Professional treatment of internal & external guests Working knowledge of the existing outlet systems for the operation & execution of events
Supervisory Responsibilities:

Experience:
College Degree and background in Sales, Events or F&B.
Language Skills:
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
Mathematical Skills:
Must have basic math and accounting skills. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
Reasoning Ability:
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
Computer Skills:
To perform this job successfully, an individual should have knowledge of Microsoft Outlook, Microsoft Explorer Internet software; basic understanding of ADP Payroll systems; Microsoft Excel Spreadsheet software and Microsoft Word Processing software.
Other Qualifications:
Sales, Event Coordination, Guest Services, Concierge Services and F&B Experience helpful. In addition to week days, must be able and available to work nights, weekends, holidays and overtime. Must be able to work effectively at elevations of 10,000 feet or higher.

The noise level in the work environment is usually loud. The wage for this position is $23/hr.
