JOB PURPOSE STATEMENT
The Account Clerk III employee position provides a variety of basic to complex accounting-related duties in the maintenance and processing of financial and statistical records. The Account Clerk III maintains strong communication with the Senior Account Clerk, as at times there may be a need for periodic support. The Senior Account Clerk may also provide guidance and direction in the work of the Account ClerkIII. ESSENTIAL JOB FUNCTIONS
- Collect, account for, and deposit all monies received by the District (accounts receivable)
- Responsible for ongoing maintenance of District's account receivable records
- Maintains the revolving cash fund for the District
- Collects and deposits funds into bank
- Processes purchase orders and change orders
- Coordinates ordering for purchase orders
- Administers senior parcel tax exemption program
- Maintain various usage transactions, i.e., utilities, GASB 87, GASB 96, etc.
- Prepares invoices and support documents for submission to the County Office of Education
- Receives, audits and processes invoices for payment of all funds and receives and distributes vendor warrants
- Maintains District files and vendor files and records
- Communicates with vendors concerning pricing, delivery and billing
- Monitors credit memos and returned merchandise receipts
- Corresponds with vendors regarding back orders, outstanding purchase orders and invoices not received at fiscal year-end
- Assists with fiscal year-end closing of current liabilities and prepaid expenses
- Assists other personnel as may be required for the purpose of supporting them in the completion of their work activity
- Provides periodic administrative support for Business Office/Chief Business Official (CBO)
- Other duties as assigned
SKILLS, KNOWLEDGE, AND ABILITIES REQUIRED
- Skills to operate standard office equipment including use of computer applications, use English in both written and verbal form, use correct spelling, grammar and punctuation.
- Knowledge of financial methods and terminology and office methods and procedures.
- Abilities to carry out oral and written directions; make arithmetical computations with speed and accuracy; comply and maintain accurate and complete records and reports; interpret laws, rules and regulation; establish and maintain cooperative working relationships with those contacted in the course of the work; receive and process phone inquiries; operate office equipment such as adding machines, calculators and computers; assume responsibility and use good judgment; understand and apply general district policies and procedures.
EDUCATION/TRAINING AND EXPERIENCE/JOB REQUIREMENTS - QUALIFICATIONS
Any combination of training, education and experience that demonstrates possession of the knowledge and abilities of the position and the ability to perform the duties of the position.- Associate of Arts degree is desired or certificate in business administration, secretarial science, or a field related to the duties of the position
- College level coursework (or equivalent) in accounting, financial record keeping or a related field
- Practical years of experience from which the candidate has gained the skills, knowledge, and abilities of required skills
- Minimum of two (2) years of administrative support experience desired, involving extensive use of office automation, including computer skills and knowledge of general office software programs and applications

- Possession of a valid California Class C Driver's license
- Ability to maintain insurability under the District's vehicle insurance policy
- DOJ and FBI fingerprint clearance
- TB clearance
- Participate in employer required training and retraining programs upon employment and ongoing

- Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus
- The employee must have hand-eye coordination and be able to read printed material and computer or other technology screens
WORK ENVIRONMENT
- The employee will work under typical office conditions with moderately quiet noise level
- The employee occasionally drives to District sites, training facilities, community meetings, and other locations as needed
- The employee must be able to work independently and follow a schedule
- Occasionally the employee may interact with dissatisfied or quarrelsome individuals
- Some stress may be encountered while performing the duties of this position
