Job Description
Local Candidates Only - No Relocation Part-Time On-Site Position We are seeking a detail oriented Accounting & Records Assistant to support daily accounting and office operations. This role focuses on accurate transaction entry, organized recordkeeping, and consistent document management to help maintain reliable financial and operational records. This position works closely with the accounting and operations teams and plays a hands-on role in keeping information accurate, complete, and up to date. This is a part-time on-site position (20-28 hours per week) with flexible scheduling within the Monday-Friday workweek. Key Responsibilities Accounts Payable Support Enter vendor invoices into the accounting system with a high degree of accuracy Match invoices to purchase orders, work records, or supporting documentation Assist with preparing and processing vendor payments Maintain organized digital records of invoices and supporting documentation Accounts Receivable Support Enter customer payments (checks, ACH, credit cards) Maintain accurate and complete payment records Assist with tracking outstanding invoices as needed Operations & Records Support Enter job time and completion details into work orders or operational systems Maintain structured digital filing systems for financial and operational records Convert paper files into digital records and maintain document archives Perform data entry across accounting and operations systems following established processes Required Skills & Experience At least 1 year of Accounts Payable or Accounts Receivable experience, including transaction level data entry Experience using an ERP or accounting system such as NetSuite, QuickBooks, Sage, or a comparable platform Familiar with Microsoft 365 (Excel, Teams, SharePoint, Outlook) including working knowledge of Excel, including filters, sorting, and basic formulas Demonstrated experience maintaining organized digital financial or operational records High attention to detail and ability to follow standardized procedures Ability to work independently once trained and raise questions when something does not look right Preferred skills Experience with NetSuite Experience working in a shared document environment (SharePoint or network drives) Experience working with PowerQuery Familiarity with Adobe PDF tools for document organization and file management Prior experience scanning, indexing, or maintaining document archives Schedule 20-28 hours per week Flexible schedule within Monday-Friday Occasional opportunities for additional hours during inventory periods or to cover employee leave
