Education & Experience Associate's Degree in Accounting or at least 2 years of accounting experience Experience with title work and draw requests is highly preferred Proficient in Microsoft Office (Word, Excel, Outlook) Skilled in 10-key operation Strong organizational and communication skills Skills & Traits Self-starter with a solid work ethic Exceptional attention to detail—if it's not perfect, it's not finished Able to handle multiple tasks and meet tight deadlines Willing to work overtime when necessary DeShano Companies, Inc. is a well-established local construction company specializing in custom homes, multi-family developments, and light commercial projects. We are currently seeking a detail-oriented Accounting Assistant to take the lead on accounts receivable and project closings. In this role, you will work closely with our Accounting Manager and our President to prepare and finalize draw requests and closing packages. The current team member in this position is preparing for retirement but remains with us long enough to provide comprehensive training and a smooth transition. The ideal candidate will bring strong numerical skills, a sharp eye for detail, and a sense of pride and ownership in their work.
Responsibilities:
Closings Handle closings for model homes, spec homes, condominiums, and retail customer homes Review final utility bills, allowances, and invoices related to closings to determine amounts due or credits owed Update and maintain key documents: Closing worksheets Start/completion worksheets Job cards with completion dates and extensions "Easy as Pie" worksheet (a simplified financial summary) Revise estimates to reflect added work from purchase agreements, especially for models/specs Complete and submit 1-10 Home Buyers Warranty forms Send the new customer survey letter 30 days after closing. If the survey is not returned, send a second request 30 days later. Monitor construction timelines and coordinate accordingly: Send 30-day and 14-day completion notices to builders Notify the Change Order Department when completion date extensions are needed Complete service code sheets for basic change orders (e.g., minor electrical work) Generate and submit weekly reports: Closing Task List to the President, Accounting Manager, and Office Manager Jobs Under Construction report to the President Accounts Receivable Review original job packages to gather lender and title company information, draw schedules, and requirements Prepare and submit draw requests strictly based on completed work, not just paid invoices Ensure each draw includes proper documentation: Full or partial lien waivers Accurate sworn statements Review invoices weekly to determine waiver needs and follow up with suppliers and subcontractors Communicate with builders to confirm: Job start dates Percentage of completion Any changes affecting draw submissions Invoice homebuyers directly for cash transactions based on the terms of the contract Enter job details and progress in the Job Information Workbook Maintain and update draw tracking sheets, submitting weekly reports to the President, Accounting Manager, and Office Manager General Office & Title Work Communicate with banks and title companies to obtain customer- or project-specific information Coordinate insurance documentation for condominiums and model homes File Notices of Commencement for cash deals, end loans, condos, and models Maintain cost-to-date vs. estimated cost spreadsheets for construction management projects Support interdepartmental coordination for change orders and timeline extensions Other Requirements Must pass a drug test and background check Agree to "at-will" employment terms Capable of working at a computer for extended periods
