Job Description

Job Overview We are seeking a detail-oriented and organized Accounting Associate. The ideal candidate will play a crucial role in maintaining accurate financial records, processing transactions, and supporting various accounting functions. This position requires proficiency in QuickBooks, various Microsoft Office Software, and a solid understanding of financial principles. The Accounting Associate will work collaboratively with the General Manager to ensure compliance with financial regulations and contribute to the overall efficiency of our accounting operations. Essential Duties and Responsibilities Provide specific accounting services and interface with other service providers, i.e. payroll, billing, operations support, and human resources Administer the general membership database and member records relating to the collection of fees, assessments, and maintaining the membership electronic database associated with billing software Maintain the accounts payable and accounts receivable in a timely fashion Maintain files and records for all accounts, vendors and contractors including insurance providers, serve as liaison with other organizations and agencies, and review all correspondence to accounts/vendors/contractors Maintain the office equipment leasing contracts, ensure proper operation and calibration of all office equipment including inventory of equipment parts and office supplies Reconcile accounts with bank statements and make bank deposits as needed Responsible for filing/releasing liens and acquiring notary signatures on association document as needed and administer the HSCA seal where needed Prepare and process annual assessment mailing and monthly water billing, pursue delinquencies, establish payment plans where necessary, and assist in collecting on past due accounts Prepare for and assist in the annual audit and tax preparation, as well as prepare quarterly financial reports for the Board of Directors (BOD) Track and report the financial status on special projects, grant, and loan programs on at least a quarterly basis and provide assistance in grant and loan applications Evaluate accounting and collection procedures and establish and implement policies, procedures, and standards for the efficient delivery of services and make recommendations to the BOD as necessary. Assist in cross- training new office personnel and provide Clerical Assistant (CA) with access to all Quick Books/Munibilling operations to allow CA to assist with customers and provide back-up when the AA or GM are not in the workplace Maintain required HR & time sheet records for all employees with assistance from the GM and serve as the liaison with the employment leasing agency when and if applicable Ensure personnel records are maintained in accordance with policy; maintain and update Employee Handbook as needed Provide a monthly written report for the BOD on accounting and fiscal status including any important alerts to changes in financial situation of the organization, outstanding accounts receivable, issues with accounts payable, and advise on any administrative items that needs BOD approval Assist GM with coordinating and tracking BOD activities and maintain correspondence files for the BOD Participate in the development and administration of the annual operating budget. Assist in compiling information to forecast any additional administrative funding needs for presentation to the BOD Participate in the development of the Capital Improvement Plan; manage any related contract services, assist in monitoring contract compliance, and inform the BOD on any adjustments and newly suggested provisions or revisions to contracts. Work in conjunction with the GM regarding the park facilities including but not exclusive to the pool maintenance, use and supervision including sign-in sheets for use of HSCA facilities Be available to respond in the case of emergencies that affect the membership. Provide customer service relating to assessments and billing issues and general customer service as needed during open hours at the office
Required Skills :
Ability to attend to daily procedural tasks as well as being available to address and service the best interests and needs of the members. Ability to understand and assure compliance by the members with the HSCA by-laws, CC&Rs, Water Regulations and Rules and any policies adopted by the BOD. Excellent organizational skills with the ability to analyze and interpret problems and provide practical solutions Ability to communicate clearly, politely, and effectively both orally and in writing Ability to employ discretion and maintain confidentiality especially in regard to BOD activities Ability to listen and promote cooperation and appropriate responses Ability to work as part of a team and promote a spirit of cooperation and integrity Knowledge of office practices, procedures, equipment and generally accepted accounting principles
Qualifications :
Knowledge of general office practices, procedures, equipment and accounting practices. Computer proficiency in Word, Excel, QuickBooks, Munibilling, and other software as made available for business operations. CPR and First Aid Certificates High School Diploma or GED and 2 years minimum higher education or equivalent professional work experience Desirable - Work experience in Association management or as an administrative assistant/office manager in a service related field. Valid Hawaii State Drivers License with a driving record free from serious or frequent violation Clear criminal background check. Able to be
