Job DescriptionJob Description We have paused this posting, as we are reviewing current candidates. Position Overview We are seeking a highly analytical, detail-oriented Accounting Specialist to support and enhance the financial operations of a well-established nonprofit organization operating in a highly regulated environment. This role goes beyond traditional bookkeeping and requires a professional who can evaluate existing systems, identify inefficiencies, and proactively implement improved accounting processes. The ideal candidate brings strong technical accounting skills, including accrual-based accounting and financial analysis, along with the ability to troubleshoot issues, streamline workflows, and contribute to more effective financial management. This is a full-time, on-site position based in St. Petersburg, Florida, reporting to Senior Operational Leadership. Key Responsibilities Manage full-cycle accounts payable and accounts receivable processes with a focus on accuracy and efficiency Process biweekly payroll in coordination with senior leadership and human resources Perform monthly bank and account reconciliations, including accruals and adjusting journal entries Maintain and reconcile the general ledger, including chart of accounts structure, class coding, and departmental allocations within QuickBooks Maintain accurate tracking of restricted and unrestricted funds, grant expenditures, and program-specific allocations Prepare grant-related financial reports and support compliance with donor and funding requirements Support and actively contribute to month-end and year-end close processes Maintain accurate and up-to-date financial records in QuickBooks Prepare monthly financial statements, including balance sheet, income statement, statement of functional expenses, and budget-to-actual reporting for leadership Prepare financial reporting packages and variance analysis for executive leadership and board review Analyze financial data to track trends, spending patterns, and year-to-date budget performance Evaluate current accounting systems, workflows, and internal processes; recommend and implement improvements to streamline operations Develop, revise, and document standard operating procedures (SOPs) to enhance consistency and scalability Ensure compliance with internal controls and regulatory requirements Manage and meet strict deadlines for payroll, billing, audits, and compliance with federal, state, and local regulations Support audits and provide required documentation Support annual financial audit and preparation of schedules required for Form 990 and external reporting Identify discrepancies, investigate root causes, and resolve issues proactively Partner with leadership to problem-solve billing, reporting, and operational challenges Qualifications 4 to 6 years of progressive accounting or full-cycle bookkeeping experience Strong understanding of accrual accounting, adjustments, and financial reporting processes Experience with QuickBooks Online strongly preferred Experience with Paylocity or similar payroll systems Advanced proficiency in Microsoft Excel (pivot tables, formulas, data analysis) Demonstrated ability to assess existing processes and implement more efficient solutions Strong analytical and problem-solving skills with a proactive mindset High level of accuracy and attention to detail Excellent organizational and time management skills Clear, professional, and proactive communication style Ability to handle sensitive and confidential information with discretion Preferred Qualifications Experience independently managing the accounting function in a small to mid-sized nonprofit environment strongly preferred Exposure to audits or compliance-driven operations Experience tracking budgets, financial trends, and operational spending Associate's or Bachelor's degree in Accounting, Finance, or related field Work Environment On-site role based in St. Petersburg, Florida Collaborative, mission-driven environment with a strong focus on accountability, continuous improvement, and operational excellence Physical Requirements and Environment This position is based in an office setting located on the second floor of a building without elevator access.
