Job Description
Under the direction of the Accounts Payable Supervisor, the Accounts Payable Specialist performs basic administrative data entry and invoice processing functions for multiple base accounts. This person must be detail oriented, accurate and thorough. At the same time, this individual must be able to meet important recurring deadlines. In addition to heavy computer work, there is some interaction with the public over the phone, in person and via email. Therefore, this person must possess good communication skills.
RESPONSIBILITIES/DUTIES MAJOR RESPONSIBILITIES
- Processing of company approved invoices, utility bills and other duties
- Work with strong attention to detail involving hundreds of invoices
- Obtaining approvals and owner signatures for invoices before processing
- Accurately match invoices to purchase orders and code to appropriate properties and general ledger accounts
- Enter data in Appfolio, the company software system
- Work accurately and timely in order to meet weekly deadlines
- Follow up on outstanding purchase orders and invoices and filing processed invoices
- Login weekly to various vendor websites to print invoices and reconcile vendor statements
- Assist the Property Management team and other Departments in obtaining information
- Provide Supervisor with weekly cash requirement report that includes ach holds and due dates for ach payments
MINOR RESPONSIBILITIES
- Construction waiver documentation
- Work with Supervisor to ensure waivers are prepared for project payment
- Maintain files of completed waivers
- Follow up on incomplete waivers and hold payment until completed
- Subcontractor workers comp and general liability insurance
- Obtain updated documents
- Hold payments until all appropriate documents are received
- Other duties
- Unforeseen responsibilities and/or tasks as assigned by Supervisor
- Answers company phones calls when needed
QUALIFICATIONS AND COMPETENCIES
- Minimum of associate's degree preferably in Accounting or comparable work experience.
- Progressive accounting experience in the private sector consisting of multiple entities, property management and construction environment preferred.
- Strong computer skills. Knowledge in accounting software applications such as Appfolio and Microsoft 365 a plus.
- Ability to communicate well with the public verbally and via email.

Full-time Pay:
$40,000.00- $46,000.
