Activities/Administration SUMMARY:
Reporting to the Director of Resident Services, this position is located at a 55+ age-restricted, high-rise in Laguna Woods Village. This position assists in running activities and events within the building. Events include running Bingo on Wednesday nights, showing movies, hosting Happy Hours, and Holiday events. This position is also responsible for assisting with administrative work and other tasks. This position requires experience in administrative and activity roles, with some training provided. We are looking for a reliable, qualified candidate. Opportunity for performance based raises.
DAILY DUTIES AND RESPONSIBILITIES
Activities Functions
  • Works or substitutes for working community events with the Activities Team
  • Post flyers in the elevators/bulletin boards
  • Create posters on CANVA
  • Run BINGO every Wednesday evening, collecting cash, distributing cash, and calling out BINGO numbers
  • Will learn how to book performers and create/file invoices
  • Light event set-ups: decorating, moving chairs, or setting up tables
  • Chaperone movie showings, plays, and outings
  • Required to work Happy Hours, monthly Birthday Dinners, and Holiday events (Wednesday and Thursday evenings) or days required.
  • Decorating the building with holiday/festive décor (provided)
  • Help residents settle in at special events, collect tickets, and escorting to their seats
  • Work approximately 20-30 hours weekly. Wednesday evenings are required; other hours are flexible. The director will create a monthly schedule for the staff according to the events. Administrative Functions
  • Emailing
  • Scanning documents
  • Building Orientation folders
  • Filing documents
  • Coding Invoices
  • Weekly Memo
  • Occasionally hand out notices to the building/residents
  • Organizing online documents/folders
  • Update weekly flyers on Opti sign
  • Update Facebook with current events
  • Creating Monthly Calendar
  • Purchasing alcohol as needed for events
  • Keeping an inventory of alcohol
  • Taking photos of events
  • Uploading photos on the shared drive
  • Cover the receptionist's lunch (30 minutes)
  • Assists the Director of Resident Services and the leadership team where necessary
  • Additional duties and functions may be assigned as needed The preceding functions have been provided as examples of the types of work performed by employees assigned to this job classification .
Management reserves the right to add, modify, change, or rescind the work of different assignment positions.
NON-ESSENTIAL RESPONSIBILITIES
  • Assist with other jobs and other duties as necessary
QUALIFICATIONS
  • Friendly and Outgoing personality
  • Ability to interact professionally with residents and staff
  • Ability to interact effectively with active adults over 55 years of age
  • Computer proficiency with all Microsoft Office platforms, including Outlook
  • Knowledge of Electronic/Mobile Devices/Internet/Media Services
  • Ability to communicate effectively in English, both verbally and in written form
  • Must be able to lift and carry items up to 30 lbs. in weight
  • Must be able to occasionally work weekends and holidays
  • Ability to work under minimum supervision
  • Self-starter and always willing to assist when needed
  • Knowledge of Excel
Knowledge of PowerPoint Pay:
From $20.00 per hour
