We are searching for a highly organized, technically sharp, and people-oriented Administrator. This role is equal parts process designer, systems do-er, people person — someone who can build the systems and automations that make the experience for our team and membership seamless, while also being the warm, knowledgeable human on the other end when it matters most. The right person for this role thinks in systems but leads with empathy. You see a manual process and immediately start designing a better one. You are detail-obsessed, technically curious, and thrive on creating smooth, personalized experiences. You understand that behind every account is a real person, and you treat every interaction — whether it's a billing question or a first-day tour — as an opportunity to make someone's day better. The Role As Administration, you will own the membership experience, billing, and other routine administrative tasks and responsibilities from first inquiry to final farewell. Working under our Administration Manager, you'll ensure that every touchpoint is personalized, every process runs smoothly, and every member feels like they belong to something special. But this isn't just an execution role — you'll be actively designing, building, and refining the automated workflows and systems that power these processes. Today, you do the work and learn the intricacies. Over time, you systematize and automate what can be automated, freeing yourself to focus on the high-touch, human moments that define great membership experiences. Key Responsibilities Manage the full membership lifecycle: onboarding new members, transitioning plans, and handling offboarding with care and professionalism Create personalized onboarding experiences for each new member — tours, introductions, account setup, and follow-up to ensure they feel at home Serve as the primary point of contact for membership inquiries, billing questions, plan changes, and account management Maintain accurate and up-to-date reporting records, billing information, and documentation Resolve billing issues promptly and with a member-first mindset — always with clarity and kindness Design, build, and continuously improve systems workflows and automations — from onboarding sequences to billing notifications to renewal reminders Coordinate with the broader Administration team, Hospitality, and ownership to align on member needs and Club-wide initiatives Track membership metrics, renewals, and retention — flag trends and opportunities proactively Handle sensitive member situations with discretion, empathy, and professionalism Identify repetitive tasks and manual processes, then architect solutions to automate them — always with an eye toward reliability and member experience quality Maintain and advance our membership technology stack — you'll become the expert on our platforms and the bridge between what the tools can do and what the team needs Ideal Candidate 5+ years of experience in systems design, administration, client operations, member management, concierge, or a similar role that combined process design with people skills. The right candidate for this role is highly technical. Exceptionally organized with a natural instinct for designing processes — you don't just follow systems, you build them and educate the team on the updated process. Warm, approachable personality — you genuinely enjoy helping people and it shows Strong written and verbal communication skills — clear, professional, and personable Technically proficient — you're comfortable with membership platforms, billing systems, automation tools, and workflow builders. You don't just use software; you think about how to make it work harder for you Experience building automations or workflows — whether that's Zapier, custom integrations, or simply a well-designed spreadsheet system that actually works.
