Job Description

G.A. Rich & Sons is a family-owned company providing Commercial Plumbing, Process Piping, Site Utilities and Municipal Service throughout Illinois and is seeking a full-time Administrative Assistant. We are looking for a career-minded person who is looking for a long-term position with a great company. This role requires a highly organized, detail-oriented individual who can manage multiple priorities, maintain accurate records, and proactively support both field and office functions.
Essential Functions:
Safety Administration Distribute and track weekly toolbox talks Maintain records of safety meetings and compliance documentation Track and follow up on safety audits and corrective actions Assist in maintaining safety logs and reporting requirements Recruiting & Onboarding Post job openings to various job boards and platforms Assist in recruiting processes Send and manage new hire paperwork through BambooHR (or similar HRIS) Complete employer onboarding sections and ensure compliance Track onboarding progress and ensure timely completion Employee Tracking & HR Support Maintain and track employee development calendar (90-day reviews, conferences, etc.) Monitor and track employee time-off usage Review and approve time-off requests in accordance with company policies Administrative & Operational Support Assist with ownership/executive calendar management Support bid preparation and job setup documentation Provide general administrative support across departments Maintain organized filing systems (digital and physical)
Required Knowledge, Skills, and Abilities:
High school diploma required 1-3 years of administrative, HR, or office support experience Strong attention to detail and organizational skills Ability to manage multiple tasks and deadlines effectively Conducts oneself in a professional manner with responsibility, integrity, accountability and excellence Demonstrated ability to take initiative; always finds a way to be productive, takes pride in their work Works well as a team member; places the success of the team above self interest Strong written and verbal communication skills Ability to handle sensitive information with confidentiality Proficiency in Microsoft Office (Word, Excel, Outlook)
