Job Description

Administrative Assistant A growing greater-Atlanta area financial services firm is seeking an organized Administrative Assistant to join our team. We focus on providing financial services for individuals, corporations, small businesses, trusts, and estates. Each client receives a tailored experience to meet their specific needs. Administrative Assistant candidates must be able to provide administrative support to the firm team while working with highly confidential information. Successful candidates must be self-starters, dependable, have the ability to multi-task, and communicate effectively with team members. The Administrative Assistant position will begin as a part-time role with future growth to full-time status. Pay will be based on experience and knowledge. Background check and references will be required. Responsibilities
  • Answer and direct phone calls using clear and effective communication skills
  • Carry out administrative duties such as filing, typing, copying, binding, scanning, etc. with a higher volume of support during tax season
  • Organize and schedule appointments and meetings as requested
  • Maintain customer relationship management (CRM) database with accurate client information
  • Produce and distribute correspondence memos, letters, faxes, and forms
  • Assist in the preparation and distribution of regularly scheduled reports
  • Maintain digital and manual filing system
  • Provide general support to visitors
  • Take accurate minutes of regularly scheduled staff meetings
  • Ensure operation of office equipment by calling for repairs and maintaining equipment inventories
  • Maintain office supplies inventory by monitoring inventory levels, anticipating needs, and placing supply orders
  • Handle sensitive information in a confidential manner Qualifications 3-5 years' experience working in a professional office environment Experience using Microsoft Office products required Excellent verbal and written communication skills High degree of accuracy and attention to detail Strong organizational skills with eye for process improvement Ability to multi-task while working with multiple entities within overall organization Knowledge and understanding of tax preparation beneficial, but not required Reliable and trustworthy
