Job Description

Job Summary We are seeking an organized Administrative Assistant to join our team! In this role, you will ensure smooth day-to-day functions and provide support to staff. The ideal candidate is proactive, tech-savvy, and possesses excellent communication skills, with experience in office management, clerical tasks, and customer service. This paid position offers an exciting opportunity to develop your administrative expertise while contributing to a thriving organization. Please note this role will assist with office operations for both the construction and real estate divisions of the company. Responsibilities Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette. Answering phone and taking messages. Maintain organized filing systems, both digital and physical documents, ensuring easy retrieval. Perform data entry tasks with high accuracy using Microsoft Office applications and other relevant software. Assist with bookkeeping duties utilizing QuickBooks or similar accounting tools to track expenses and invoices. Support office management activities including supply inventory, ordering materials, and maintaining a tidy workspace. Order and coordinate delivery of materials for job sites as directed by project managers. Offer personal assistant support as needed for executives or team members to enhance productivity Qualifications Proven experience in an office environment with strong clerical skills and organizational abilities. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint). Familiarity with QuickBooks or other bookkeeping software is highly desirable. Excellent phone etiquette. Bilingual abilities are a plus to effectively serve diverse clients and team members. Strong typing skills with high accuracy; capable of proofreading documents thoroughly. Demonstrated ability to prioritize tasks efficiently using effective time management strategies. Experience in construction office management preferred. Must be a licensed Notary Public. Associates or Bachelor's in business administration or related field preferred.
Pay:
$30.00 - $35.00 per hour
