Job Description

Job Overview We are actively seeking a dedicated and highly organized Administrative Assistant to join our customer's dynamic team. This role is essential in ensuring the smooth operation of daily office activities, providing exceptional support to staff and clients alike. The ideal candidate will possess strong office management skills, excellent communication abilities, and proficiency with various computer applications. This position offers an engaging environment where attention to detail and proactive problem-solving are highly valued. The successful applicant will play a key role in maintaining efficient office workflows, managing schedules, and delivering outstanding customer service. Duties Serve as the front desk receptionist, greeting visitors and managing multi-line phone systems with professionalism and courtesy. Handle incoming calls with proper phone etiquette, directing inquiries to appropriate departments or personnel. Manage calendar scheduling, appointments, and meetings for staff members using digital tools such as Google Workspace or Microsoft Office. Perform data entry, filing, and document proofreading to ensure accuracy and organization of office records. Support bookkeeping tasks utilizing QuickBooks or similar accounting software, including invoicing, expense tracking, and basic financial record keeping. Assist with office management duties such as ordering supplies, maintaining inventory, and overseeing general administrative functions. Provide customer support by responding to inquiries via phone or email promptly and professionally. Coordinate personal assistant tasks for executives or team members as needed, including travel arrangements and correspondence. Maintain confidentiality of sensitive information while ensuring all administrative processes run efficiently. Support medical or dental receptionist duties if applicable, including appointment scheduling and patient record management. Qualifications Proven experience in office administration or clerical roles with a minimum of two years preferred. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications. Strong computer literacy with familiarity in data entry, filing systems, and document proofreading. Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment. Demonstrated customer service skills coupled with professional phone etiquette. Experience with QuickBooks bookkeeping software is advantageous. Knowledge of multi-line phone systems and front desk operations is preferred. Previous experience as a medical or dental receptionist or personal assistant is a plus. Ability to manage time efficiently while handling multiple responsibilities simultaneously.
