Job Description

Job Summary We are seeking a responsible and reliable Administrative Assistant to join our team! This energetic role is vital in ensuring the smooth operation of our office environment, providing exceptional support to staff and visitors. The ideal candidate will possess strong office management skills, excellent communication abilities, and a proactive attitude. As an Administrative Assistant, you will handle a variety of clerical tasks and deliver outstanding customer service to ensure smooth day-to-day operations and welcoming workplace. Responsibilities Manage front desk operations, greeting visitors and directing them appropriately with professionalism and warmth Operate multi-line phone systems efficiently, answering inquiries and routing calls accurately Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents Assist with data entry, proofing documents for accuracy, and managing correspondence using Microsoft Office and First Steps Database Support calendar management for executives or team members, scheduling meetings and appointments with precision Provide excellent customer service by responding promptly to inquiries via phone or email, demonstrating strong phone etiquette and support skills Requirements Proven experience in office management or administrative roles with a focus on clerical duties and customer service excellence Strong computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint), knowledge of office management systems and data entry skills Bilingual abilities are a plus to assist diverse client needs and enhance communication within the team Excellent organizational and time management skills with the ability to prioritize tasks effectively Demonstrated time management skills to handle multiple responsibilities efficiently Previous experience as a receptionist or personal assistant is desirable Strong attention to detail and problem-solving skills Excellent written and verbal communication skills Strong organizational skills with the ability to multi-task Knowledge of office equipment such as multi-line phones, fax machines, printers, and scanners Join us in this exciting role where your organizational talents will make a real difference!
