The Administrative Assistant supports the Zapata County Juvenile Probation Department by performing a wide range of administrative, clerical, and office management duties. This position is responsible for maintaining confidential juvenile records, preparing reports and correspondence, scheduling meetings, and assisting probation officers, department leadership, and the public. The Administrative Assistant serves as a key point of contact for staff, court personnel, partner agencies, and families, handling sensitive information with professionalism and discretion. Duties include data entry, file management, document preparation, and coordination of meetings and court-related materials to support accurate recordkeeping and effective communication. The Administrative Assistant ensures compliance with departmental policies and state regulations and helps maintain efficient office operations within the Juvenile Probation Department.Essential Job Functions:
Manage daily office operations and provide administrative support to probation officers and department leadership. Collect, enter, and maintain state database files and confidential juvenile records. Prepare, process, and oversee court documents, correspondence, and meeting packets. Coordinate and schedule appointments, meetings, and court hearings for staff and juveniles. Serve as a primary contact for internal and external communications, including responding to inquiries from families, schools, and partner agencies. Assist with restitution payments, maintain related records, and forward payments to victims. Notify schools regarding juvenile detention dates and legal notifications as required by law. Monitor and maintain office equipment and supplies, ensuring a professional and organized work environment. Travel as needed to county offices or courts to deliver mail and paperwork. Maintain confidentiality and uphold ethical standards in all aspects of the job.Additional Job Duties:
Perform receptionist duties and other secretarial tasks as needed. Create and maintain juvenile folders and tracking sheets for service contracts. Assist in monitoring service provider contracts and maintaining attendance reports for provider groups. Conduct research and compile information as directed by department leadership. Open and close the department office each work day and ensure its appearance is maintained.Minimum Requirements:
Employee candidates must pass background check for the State of History foundonautomatic disqualification of application. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Employee must maintain a valid Texas Driver's License. Occasionally, the Administrative Assistant may use their personal vehicle for travel in the performance of the job or for training purposes.Education:
Minimum of High school diploma or GED, associate's degree or college credits preferred.Experience:
Minimum of two (2) years of customer service or administrative office experience preferred but not required.Required Skids:
Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Ability to manage accurate paper and electronic files within file-keeping software. Competence in performing simple calculations, and ensuring proper grammar, spelling, and syntax in written communication. Familiarity with operating standard office equipment like copiers, fax machines, scanners, and phones. Ability to multitask while maintaining attention to detail and meeting deadlines. Ability to work independently and follow verbal and written instructions effectively. Strong oral and written communication skills. Bilingual in English and Spanish preferred, but not required.Physical Requirements & Working Conditions:
This position regularly requires standing, walking, reaching, and using hands to handle objects, tools, and controls. Occasional climbing, balancing, stooping, kneeling, crouching, talking, hearing, and smelling may be required. The employee must regularly lift and/or move up to 20 pounds and occasionally up to 50 pounds. Specific vision abilities required include close, peripheral, and depth perception.
