Job Description

Administrative Assistant WHO WE ARE- AgBest, LLC is a farmer owned cooperative with Agronomy and Energy branches located throughout East Central Indiana since 1930. AgBest offers a broad range of agricultural inputs and custom services to support the varied farming operations in our market. We provide major product lines including petroleum and LP gas, feed, fertilizer, crop protection and seed. In addition, we offer related services, including custom application, grain marketing, and consultation. AgBest serves patrons in Delaware, Blackford, Jay, Wells, Eastern Grant and Western Randolph Counties and we distinguish ourselves from our competitors by providing efficient service, excellent products and superior customer service. Additionally, our AgBest Express division includes self-service gas stations and convenience stores offering top-tier CountryMark gasoline refined from American crude oil. Position Summary The purpose of this role is to provide customer service and administrative assistance for our agronomy branch. This role will assist with accounts receivable and with verifying, filing, and responding to customer contracts promptly. Other standard clerical duties include answering phone calls and directing them to the correct individuals, sorting mail, and assisting with other duties as needed. Position will project a professional company image through in-person and phone interactions. Essential Duties and Responsibilities The essential functions include, but are not limited to, the following: Meet and greet clients and visitors Coordinate with Operations Manager on the dispatching of dry products, crop protection products, and anhydrous ammonia Customer service, including taking orders, processing orders, dispatch, and handling customer complaints Coordinate with the administrative group to receive incoming product shipments against open purchase orders Assist management with inventory, including taking inventory, researching discrepancies, and communicating inventory with the accounting department in the corporate office Communicate with the corporate accounting office to follow all SOP's in the account for all products the location handles Attend continuing education courses to maintain an adequate level of knowledge for the products and administration involved Data entry Record maintenance and retention Receive and apply payments to customer accounts Monitor and maintain accounts receivable Prepare customer invoices Reconcile customer accounts Verify and prepare customer contracts Communicate with customers to adjust billing, answer questions, etc. Research problem invoices by interfacing with vendors, customers, and other staff Run monthly reports for account reconciliation Prepare and post deposits Answer, screen, and direct incoming telephone calls General clerical duties such as filing, photocopying, typing, and mailing Assist with special projects as needed, such as the Annual Grower Meeting May be asked to drive and run local errands as requested Scale all product loads in and out Log samples for State Chemist May be required to cross-train and substitute for other administrative positions Minimum Qualifications (Knowledge, Skills, and Abilities) Demonstrated ability to calculate figures and amounts Proficient computer skills Acute attention to detail and strong organizational skills Understands confidentiality policies Commitment to excellence and high standards Excellent written and verbal communication skills Ability to understand and follow written and verbal instructions Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm High School Diploma, two years related experience, or equivalent combination of education and experience Must maintain a valid driver's license and satisfactory driving record. Demonstrated essential abilities, including business knowledge, collaboration, communication, customer focus, decision making, and skill development. Physical Demands:
Ability to write and speak effectively to individuals and groups. Ability to walk, stand, stoop, bend, or sit for extended periods of time. Ability to crouch, reach, and finger keys (like keyboarding, controls on a scanner, fax, etc.). Ability to lift up to 30lbs. Ability to hear within normal range. Acuity near and far, with the ability to see within normal parameters and to distinguish colors. Ability to work for extensive periods at a computer keyboard. Must have a valid driver's license, reliable transportation, and applicable automobile insurance. Travel as needed.
Work Environment:
The nature of the business may require extended hours and weekend availability during our busy season. Work is conducted mainly in a typical office environment, with possible exposure to dust, fumes, chemicals, and electrical hazards with appropriate safety measures in place. The environment can be noisy and will involve interacting with team members and serving customer needs in an open area. Must be able to work in a drug-free environment.
