Full-Time (40 hours/week) 8:30am - 5:00pm| $15/hour Summary Statement The Administrative Assistant supports daily office operations with a primary focus on financial data entry and reconciliation processes. This role is responsible for accurately entering data into QuickBooks, reconciling donation data, identifying and correcting discrepancies, and preparing deposits. In addition to financial responsibilities, the Administrative Assistant provides general administrative support, including assisting with mail processing and other office tasks as needed. This position requires strong attention to detail, organizational skills, and the ability to maintain confidentiality when handling sensitive financial information. Job Requirements Perform accurate and timely data entry of financial information into QuickBooks Reconciling donation data by reviewing processed mail, verifying totals, and identifying discrepancies Research and resolve errors in data entry or batch totals to ensure accuracy Prepare and organize deposits in accordance with established procedures Assist with sorting, counting, and processing incoming mail as needed Provide general administrative and operational support to the office team Maintain organized records of financial transactions and supporting documentation Qualifications High school diploma or equivalent recommended Experience with QuickBooks or similar accounting software preferred Strong attention to detail with the ability to maintain accuracy in repetitive tasks Basic math and reconciliation skills Proficient computer skills, including data entry and Microsoft Office Ability to handle confidential financial information with discretion Strong organizational and time management skills Working Conditions This position is performed in an office environment and requires extended periods of sitting while completing data entry and reconciliation tasks. The role may also involve standing, sorting, and handling mail as needed. Repetitive motions such as typing and document handling are required. Occasional lifting and moving of mail containers up to 25 pounds may be necessary. Work is performed during regular business hours with consistent daily workflows.
