Administrative Assistant Hayes, VA 23072 From $55,000 a year - Full-time From $55,000 a year - Full-time Job Summary Zandler Inc. is seeking a highly organized and detail-oriented Administrative Assistant to support our office accounting and human resources operations. The ideal candidate will possess strong computer skills, excellent communication abilities, and a solid background in clerical and customer service tasks. Responsibilities include maintaining organized records, managing compliance documentation, insurance administration, timely and accurate data entry, and proficient in Microsoft Excel. The ideal candidate is detail-oriented, proactive, able to collaborate and work within a team effectively, and capable of managing multiple tasks in a dynamic, fast-paced construction environment.
Job Responsibilities:
Provide general administrative support to accounting department and leadership teams. Handle mail distribution, manage office supply inventory, and support other general office tasks. Maintain office files and electronic records according to company standards and confidentiality policies. Enter data accurately and efficiently into construction software system as directed by Accounting Manager. Assist the accounting team with AP/AR invoice processing, Credit Card processing and receipts, special projects, reports, or other tasks as requested. Perform daily scanning, filing, and organization of project documents. Track and maintain subcontractor compliance documentation, including insurance certificates, W-9s, lien releases, and other required forms. Manage documentation and updates for all company insurance policies. Assist with insurance renewals, Certificate of Insurance (COI) requests, and maintaining accurate policy records.Qualifications:
3-5 years proven experience in office clerical work, or administrative support (preferred) Strong computer literacy with proficiency in Microsoft Office & Excel Excellent organizational skills with the ability to multi-task efficiently Exceptional phone etiquette and customer service skills Ability to manage and handle time-sensitive tasks effectively & confidentiality. Strong typing skills with attention to detail for proofreading documentsCompensation and Benefits:
