Job Overview We are seeking a dynamic and highly organized Administrative Assistant to join our team! Responsibilities Manage administrative assistant duties, greeting clients and staff and directing them appropriately with friendly, professional phone etiquette Operate multi-line phone systems to handle inquiries, schedule appointments, and coordinate communication effectively Maintain organized filing systems, both physical and digital, including data entry and record keeping using tools like Google Workspace and Microsoft Office. Support calendar management for team members, scheduling meetings, appointments, and reminders with precision Assist with bookkeeping tasks using QuickBooks or similar accounting software to ensure accurate financial records Provide exceptional customer support via phone, email, or in person, addressing inquiries promptly and courteously Perform clerical duties such as proofreading documents, managing correspondence, and supporting office management activities to enhance overall efficiency Requirements Proven office experience with strong organizational skills and attention to detail Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications Experience with QuickBooks or similar bookkeeping software is preferred Excellent phone etiquette skills and the ability to manage multi-line phone systems confidently Strong typing skills with a focus on accuracy and speed for data entry tasks Previous experience in administrative roles such as medical or dental receptionist or personal assistant is advantageous Ability to handle confidential information discreetly while demonstrating excellent time management skills Knowledge of office management procedures combined with clerical experience in fast-paced environments Ability to fill in where needed, must me adaptable with a can do attitude Accounting skills Join us as an Administrative Assistant where your enthusiasm, organizational prowess, and dedication will make a meaningful impact every day!
