Job Description

Job Summary We are seeking a highly motivated, detail-oriented professional with a strong personality and exceptional leadership abilities. A strong auditing mindset is essential, with the ability to consistently ensure that all operations, documentation, and daily tasks are accurate, compliant, and completed in an organized manner. The ideal candidate will have an outgoing, approachable, and open personality, along with a proactive attitude and strong problem-solving skills. Attention to detail, accountability, leadership presence, and the ability to keep daily operations running smoothly are critical for success in this role. Responsibilities Manage front desk duties, including greeting visitors, answering multi-line phone systems, and providing outstanding customer support with professional phone etiquette. Oversee office management tasks such as filing, data entry, calendar management, and maintaining organized records using Microsoft Office, Google Workspace, and other computer skills. Perform bookkeeping functions utilizing QuickBooks or similar accounting software to assist with invoicing, expense tracking, and basic financial recordkeeping. Coordinate appointments, schedule meetings, and organize events while ensuring efficient time management for staff and executives. Support clerical tasks such as proofreading documents, preparing reports, handling correspondence, and maintaining accurate filing systems. Assist with personal assistant duties including calendar management and personal errands as needed to support team members' productivity. Maintain a clean, organized front desk area and ensure all office supplies are stocked and well-managed. Qualifications Ensure all daily documentation is completed accurately and submitted on time by employees. Conduct audits and quality checks of staff documentation, work performance, and accuracy. Verify and maintain employee hours weekly for payroll purposes. Travel to various locations to ensure facilities are organized, compliant, and operating properly. Ensure physician appointments, evaluations, and scheduled appointments are kept in a timely manner. Oversee employees to ensure job duties and responsibilities are being followed and completed properly. Attend monthly state meetings and communicate professionally with caseworkers. Delegate job duties and responsibilities to team leads as needed. Conduct monthly meetings with employees to ensure compliance, communication, and accountability.
