Job Description

Administrative Assistant Smart Guard Shutters Bunnell, FL 32110 Job Summary Smart Guard Shutters is seeking a reliable and motivated Administrative Assistant to support daily office operations. This is an entry-level position with paid on-site training provided. We are looking for someone interested in growing with the company long-term. This position begins with a 90-day introductory/probationary period. Employees who demonstrate reliability, strong performance, and a good fit with the team will be considered for a pay increase and long-term placement after the 90-day evaluation period. The ideal candidate is organized, professional, positive, and comfortable working both independently and as part of a team. Responsibilities Answer phones and greet visitors/customers Schedule estimates and maintain calendars Update Excel and Google Sheets with order information Respond to emails professionally and promptly Assist customers with questions regarding products and company processes Prepare invoices, memos, reports, and other office correspondence Create loading lists for shutter transportation and installations Apply for permits, track permit status, and prepare permit packets Contact customers regarding scheduling updates Process customer payments using the kiosk and invoice system Maintain filing systems (electronic and physical) Assist with company social media posts twice weekly Track and organize powder inventory Send daily office update emails to staff Demonstrate company products to customers when needed Help maintain a clean and organized office environment Qualifications Positive attitude and willingness to learn Strong organizational skills and attention to detail Ability to follow instructions and work independently Reliable and self-motivated Must have reliable transportation Comfortable using Excel, Google Sheets, and email Good communication and customer service skills Problem-solving and critical thinking abilities Safety-minded Experience with permitting is a plus, but not required Pay & Benefits Starting pay: $15.00/hour during introductory period Performance evaluation after 90 days with opportunity for pay increase based on attendance, performance, and overall fit with the company ($15.00-$20.00/hr) Full-time schedule: Monday-Friday, 8:00 AM-4:00 PM Paid holidays (per company policy) Vacation accrual based on length of employment Dental, vision, and ID theft protection available after 90 days Retirement plan with company matching available after 1 year
