Job Description
Job Overview We are seeking a dynamic and highly organized Administrative Assistant to join our team! In this vital role, you will serve as the backbone of our office operations, ensuring smooth daily functions and providing exceptional support to staff and clients alike. Responsibilities Manage front desk duties, greeting visitors and directing them appropriately with professional phone etiquette. Operate multi-line phone systems to handle incoming calls efficiently, transferring or taking messages as needed. Maintain organized filing systems, including digital files via Google Workspace and Microsoft Office applications, ensuring quick retrieval of documents. Perform data entry and bookkeeping tasks using QuickBooks and other office management software to support financial record-keeping. Schedule appointments, manage calendars, and coordinate meetings for staff members with precision and timeliness. Provide excellent customer service by supporting clients, answering inquiries, and offering assistance in person or over the phone. Assist with clerical tasks such as proofreading documents, preparing correspondence, and managing office supplies to keep the workspace running smoothly. Skills Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools. Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment. Experience in office management, including filing, data entry, and general administrative support. Bilingual abilities are highly valued to communicate effectively with diverse clients and team members. Knowledge of office equipment such as multi-line phones, fax machines, and printers. Demonstrated customer service skills with professional phone etiquette and a friendly demeanor. Ability to handle multiple responsibilities simultaneously while maintaining accuracy and attention to detail.
