Job Description

Job Summary The Green Lake Sanitary District is a dual-role municipality in SE Wisconsin. We operate as both a Sewer Utility as well as a Lake District. We are seeking a dedicated and highly organized individual to join our team in the Administrative Assistant position. This position, which acts as municipal clerk, District bookkeeper, and office manager, is vital to the District operations. This position offers an exciting opportunity to work for the protection of Big Green Lake. Whether managing District accounts, handling correspondence, or supporting various administrative tasks, this position will make a meaningful impact every day to the work undertaken by the Green Lake Sanitary District.
Duties:
The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties related to District operations may be required as directed by the Administrator. Maintain and update District accounting via our Workhorse Software program Maintain records for annual audit including as well as providing required assistance to the District Auditors for annual audit Maintain and complete IRS tax reporting, payroll, monthly income taxes, staff compensation & benefit reporting Manage disbursements/accounts payable, maintain District bank accounts, complete account transfers, & monthly reconciliation Maintain records for GLSD quarterly sewer billing & receipts, monthly POWTS billing & receipts, and all GLSD loan payments Maintain and update District parcel ownership database Maintain and update parcel (paper) files Maintain Notary Public commission for the GLSD Create monthly reports for the GLSD Board of Commissioners including Treasurer, checks written, etc. Must create & adequately post, to meet WI Open Meetings Law requirements, meeting agendas and minutes for District Board and Special Meetings Manage all District correspondence Work to track information from various District Programs such as the aquatic plant management program by tracking participants, expenses, loads, complete required mailings, etc. Assist the Best Management Practice (BMPs) Program by tracking expenses & associated grant funding levels Work with Watershed Coordinator to track grant expenses & submit grant reimbursement requests Support the GLSD Conservancy Properties by tracking expenses, donations, grants, etc. Work directly with Waste Management staff weekly on trash collection issues within the GLSD Coordinate with staff on sick, vacation, & personal days Track summer staff hours for pay periods Review all staff credit card purchases Purchase all office, janitorial, & meeting supplies Manage District/staff technology Update staff computers, manage laptops, WIFI network, etc. Work directly with District IT consultant on IT issues & hard & software replacements Manage District Insurance policies Complete questionnaires, claims, annual audit, etc. for District insurance policies
Skills:
An applicant should have strong qualifications in organization and bookkeeping. The ideal candidate will have the following skills: Be able to effectively communicate and engage with District residents to provide solutions/answers to their questions, concerns, or complaints Have experience with Workhorse accounting programs or display knowledge of other specific accounting software Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools for document creation and collaboration Have experience with database management Excellent computer literacy with the ability to learn new software quickly Be able to independently organize and manage the necessary tasks each workday in an efficient manner Feel comfortable working in a municipal environment where all communications are subject to WI Open Records requests Feel comfortable reviewing documents and providing input for District work with other conservation organizations, local municipalities, and District legal counsel & engineers Proven experience in office administration or clerical roles with strong organizational skills Strong typing skills with attention to detail for data entry and proofreading tasks Exceptional phone etiquette and customer service skills across multi-line phone systems Knowledge of office management best practices to maintain an efficient workspace
Pay:
$26.44 - $28.85 per hour
