Job Description

Administrative Assistant- Ponte Vedra, FL 3-6 month contract-to-hire Looking for a long-term employee, goal is to convert someone after contract This position will report to the CEO and will operate as the front face of the office as well as help the CEO coordinate event bookings, setting/confirming appointments, and organizing Seminar dinners and other events. Any Marketing, sales or events experience would be highly preferred. Will attend a lot of events in Jacksonville and other areas of Florida. We are seeking a highly organized and motivated Administrative Assistant to support daily office operations while assisting with the coordination and scheduling of meetings, events, and office activities. This individual will serve as the first point of contact for visitors and callers and play a key role in maintaining a professional, welcoming, and efficient office environment. The ideal candidate is detail-oriented, customer-focused, able to multitask effectively, and thrives in a fast-paced setting. Strong communication skills, professionalism, and a positive attitude are essential for success in this role. Key Responsibilities Answer and direct incoming phone calls in a professional manner Greet visitors, clients, and guests while ensuring a welcoming office experience Coordinate visitor seating and meeting room arrangements Manage shared resource mailboxes and respond to inquiries as needed Schedule and maintain calendars, meetings, and conference room reservations Assist with planning, scheduling, and coordinating internal meetings, events, and office functions Support event logistics including invitations, catering coordination, room setup, and attendee communication Maintain kitchen, breakroom, and refreshment areas to ensure supplies remain stocked and organized Provide general administrative and office support to staff and leadership teams Assist with additional office coordination duties and special projects as assigned Qualifications Previous administrative, receptionist, office coordinator, or customer service experience preferred Proficiency with Microsoft Outlook and calendar management required Strong organizational and multitasking skills Excellent verbal and written communication skills Professional demeanor with strong customer service abilities Ability to work independently and collaboratively in a team environment Positive attitude and strong attention to details. #AJ1
