Job Description

We are seeking a highly organized and professional Administrative Assistant to support daily operations across Human Resources, Finance, Sales, and general office administration functions. This role is ideal for a candidate who thrives in a fast-paced manufacturing or corporate environment and has prior experience supporting multiple departments simultaneously. The successful candidate will demonstrate strong administrative capabilities, attention to detail, discretion with confidential information, and the ability to manage competing priorities while supporting operational efficiency and employee engagement initiatives. Essential Duties and Responsibilities General Office Administration Manage front office operations, phones, visitors, mail distribution, and office communications. Maintain office supply inventory and coordinate ordering of administrative materials. Schedule meetings, conference rooms, interviews, and company events. Assist with travel arrangements, expense reports, and calendar coordination. Maintain organized electronic and physical filing systems. Support facility coordination and vendor communication as needed. Human Resources Support Assist with onboarding, orientation scheduling, new hire paperwork, and employee file maintenance. Support HR with training records, compliance documentation, and employee communications. Maintain confidentiality of employee and company information. Assist with recruitment coordination, interview scheduling, and applicant tracking. Support HR initiatives including engagement activities, policy acknowledgments, and audits. Help maintain HR databases and reporting documentation. Safety & Compliance Support Assist with safety training records, PPE inventory tracking, and compliance documentation. Support incident reporting documentation and safety meeting coordination. Maintain OSHA and workplace safety files as directed. Assist with employee communication regarding safety procedures and compliance requirements. Finance & Accounting Support Assist with invoice processing, purchase orders, and administrative finance documentation. Support expense tracking and reconciliation activities. Coordinate with vendors and internal departments regarding billing inquiries. Maintain organized financial records and assist with audit preparation activities. Sales & Customer Support Assist the Sales team with administrative reporting, customer communication, and documentation. Support order processing and customer file maintenance. Coordinate internal communication between sales, operations, and customer service teams. Prepare presentations, spreadsheets, and reports as requested. Minimum Qualifications (Knowledge, Skills, and Abilities) Education & Experience Associate degree preferred; equivalent experience considered. Minimum of 3-5 years of administrative support experience required. Prior experience supporting HR, Safety, Finance, or Office Management functions strongly preferred. Manufacturing or industrial environment experience preferred. Knowledge, Skills, and Abilities Strong proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint). Experience with HRIS, ERP, payroll, or administrative systems preferred. Excellent written and verbal communication skills. Strong organizational and multitasking abilities. Ability to handle confidential information with professionalism and discretion. High attention to detail and accuracy. Ability to work independently and collaboratively across departments.
