Job Description

Status:
Regular, Full-time, Non-Exempt Position summary: The Medical Services Administrative Assistant is responsible for supporting and coordinating the medical care needs of students within the Residential Services program to ensure timely and comprehensive healthcare services. This role maintains medical records, coordinates appointments and follow-up care, assists with medication and prescription management, and supports on-campus medical providers during student visits. The position also conducts intake health screenings, communicates with medical professionals and staff, and ensures accurate documentation within electronic health record systems.
Qualifications:
A Christian with strong convictions who is also in agreement with Josiah White's mission statement, Statement of Faith, and Code of Conduct. Must be 21 years of age or older. A high school diploma or equivalent is required. Must have a valid driver's license and proof of vehicle insurance.
Essential job functions:
Coordinate Healthcare Services:
Schedule medical and dental appointments, arrange transportation, and communicate with providers regarding student care needs.
Ensure Documentation and Compliance:
Maintain timely and accurate charting of students' medical, dental, and vision documentation within electronic record systems, prepare records for medical clinics, and support compliance with healthcare and confidentiality standards.
Manage Medications and Supplies:
Coordinate prescriptions, maintain medical supplies, and properly dispose of discontinued medications in accordance with procedures.
Support Clinical Operations:
Assist nurses and physicians during on-campus clinics and medical visits.
Conduct Health Screenings:
Complete intake screenings, obtain medical histories and vital signs, and coordinate follow-up medical, dental, and vision care.
Provide Basic Health Support:
Administer first aid when necessary and assist with immunization tracking, TB testing, and flu shot administration as certified.
Work Schedule :
This position requires, on average, 40 hours per week. Normal work hours are Monday through Friday from 8 am to 4:30 pm. However, depending on the project cycles and workflow demands, additional hours or workday schedule changes may be required.
Physical Demands & Work Environment:
The employee in this role will work primarily in an administrative office, clinic, or residential setting while serving youth. The environment may be fast-paced at times and require managing multiple priorities, appointments, and interruptions throughout the day. Work may involve exposure to communicable illnesses, bodily fluids, or medical emergencies. Some local travel is required to transport students to appointments. The employee must be able to sit for extended periods of time, stand and walk frequently throughout campus, bend, reach, kneel, and stoop to obtain supplies and assist students, lift and carry medical supplies or equipment up to 30 pounds, successfully complete Mindset, our crisis and de-escalation curriculum, and CPR/First Aid training, which requires the ability to get on the floor, on knees, and back up. Principles of Teaching Family Model will be incorporated into the culture.
