Administrative Assistant for Research and Grants; OPCVM Department CVM Research OPFL Position Category Staff Full Time Job Description The Administrative Assistant for Research and Grants ensures the smooth day-to-day functioning of the Office of Research and serves as the central administrative contact. This role involves managing office operations, coordinating departmental activities, and assisting faculty and staff with administrative tasks. The Administrative Assistant supports scheduling, communication, purchasing, budget tracking, event logistics, form processing, and onboarding activities. Working closely with the Associate Dean of Research and Basic Sciences, the Director of Research Operations, and the Grants and Research Coordinator, this position contributes to the efficient operation of the office and the advancement of the mission of the University, the College of Veterinary Medicine at Orange Park, and the Department. Required Qualifications High school diploma or equivalent Preferred Qualifications Associate's degree or higher in business administration, office management, or a related field At least two years of administrative experience in an academic, medical, or professional office environment Familiarity with the field of veterinary medicine or academic research Experience supporting research offices or grant-related functions Familiarity with budgeting, purchasing, and procurement systems Experience coordinating logistics for meetings, events, or academic functions Physical Demands Campus Orange Park Florida Job Duty Job Duty Manage shared calendars and internal deadlines related to research events, committee meetings, and submission timelines in coordination with the research office team Job Duty Facilitate routing of research-related forms and coordinate signature collection for institutional submissions Job Duty Maintain a centralized archive of final submissions for grants, IRB/IACUC protocols, and internal research documentation Job Duty Manage daily office operations, including answering phones, responding to emails, and handling correspondence Job Duty Maintain and organize departmental files, records, and databases Job Duty Schedule and coordinate meetings, appointments, and events Job Duty Provide administrative support to research-related committees and meetings. Job Duty Assist with preparation, formatting, and submission of reports, grants, and internal documentation Job Duty Serve as the primary administrative point of contact for the Office of Research Job Duty Provide information and assistance to faculty, staff, students, and external partners Job Duty Facilitate communication between the research office and other University units Job Duty Draft, proofread, and edit departmental publications, correspondence, and communications as needed Job Duty Assist with preparation and monitoring of departmental budgets Job Duty Track expenditures and process invoices, reimbursements, and purchasing requests Job Duty Manage departmental purchasing, including office supplies and equipment inventory Job Duty Plan and coordinate administrative aspects of departmental events such as seminars, workshops, and academic gatherings Job Duty Manage logistics for events, including space reservations, catering, materials preparation, and travel arrangements Job Duty Assist in onboarding new research faculty or staff by coordinating initial scheduling, documentation, and introductions Job Duty Collaborate with the Director of Research Operations and the Grants and Research Coordinator to align workflows and support shared goals Job Duty Participate in College and University committees or community outreach initiatives as assigned Job Duty Handle sensitive and confidential information in accordance with University privacy policies and applicable regulations Job Duty Maintain a professional demeanor and uphold the values of
