05/14/2026 The Administrative Assistant for the Student Services Department is a full-time, 12-month position at Norwich Free Academy, responsible for providing administrative support to special education and student support services. This role supports the coordination of services for students across multiple districts and stakeholders and assists in maintaining compliance with federal and state requirements. The position requires strong organizational and communication skills, along with the ability to manage complex scheduling, maintain confidentiality, and work effectively in a fast-paced environment.Performance Responsibilities:
Schedule, coordinate, and manage high-volume PPT/IEP and 504 meetings across Norwich and surrounding districts, including administrators, teachers, support staff, and external stakeholders. Prepare meeting notices, draft documentation, and distribute finalized IEPs and related materials. Track timelines for evaluations, annual reviews, and triennial reviews to ensure compliance with all legal requirements. Assist in maintaining adherence to all federal and state special education timelines and regulations, including IDEA. Maintain accurate, confidential student records in accordance with FERPA. Process records requests, student transfers, and releases of information. Serve as a primary point of contact for families, staff, and outside service providers. Assist families with scheduling and documentation-related inquiries. Coordinate communication between general education staff and special education teams. Prepare correspondence, reports, and internal communications. Provide administrative support to special education administrators, case managers, and related service providers. Adapt to last-minute changes, emergent situations, and evolving departmental needs. Collaborate effectively with a wide range of stakeholders. Performs such other duties as may be assigned by the administration or designee.Professional Practices and Expectations:

Respond to inquiries and situations with tact, diplomacy, and courtesy. Support the Academy's mission and policies.Qualifications:
High school diploma or equivalent required; associate's degree or higher preferred. Experience in a public or private school system preferred. Familiarity with PPT/IEP processes and CT-SEDS preferred. Working knowledge of special education laws, procedures, and compliance requirements, including IDEA. Experience with digital record-keeping systems. Working knowledge of PowerSchool, FinalSite, Google Workspace, and CT-SEDS preferred.Application Procedures:
