We are seeking a reliable, detail-oriented Administrative Assistant to support daily office operations and assist with light bookkeeping. This is an in-office position in Lyons, IL . We are looking for someone who is organized, proactive, and comfortable handling both administrative and financial tasks in a fast-paced environment. Responsibilities Administrative Duties Answer and manage phone calls, emails, and client inquiries Schedule meetings, site visits, and internal calendars Prepare proposals, estimates, and project documents Maintain organized digital and physical filing systems Coordinate with subcontractors, vendors, and clients Manage office supplies and general office operations Light Bookkeeping Enter invoices, receipts, and expenses into accounting software Assist with accounts payable and receivable Track client invoices, payments, and outstanding balances Perform basic bank and credit card reconciliations Maintain job cost tracking and organized financial records Assist with payroll time tracking and documentation Qualifications 2+ years of administrative experience (construction office preferred) Basic bookkeeping or accounting experience required Proficiency in Microsoft Excel, Word, and Outlook Experience with QuickBooks or similar preferred Strong organizational skills and attention to detail Ability to multitask and prioritize effectively Professional communication skills Preferred Experience Construction or contractor office experience Familiarity with proposals, estimates, and job costing Experience handling vendor invoices and lien waivers
Pay:
$24.29 - $29.26 per hour
