Job Summary Administrative Assistant I:
Under direct supervision, this role provides entry-level clerical and administrative/secretarial support to a management level(s) and department or staff. Performs routine office duties such as: answering and screening telephone calls, making appointments and scheduling meetings, processing mail and faxes, composing routine correspondence, collecting, compiling and analyzing basic information and data, answering routine inquiries, maintaining and updating office supplies, assisting in maintenance of department files and performing data entry following detailed instructions and guidelines. May handle confidential records or information and make travel arrangements. Provides basic typing and word processing support. Uses computer software such as word processing, spreadsheets, graphics and presentation software.Administrative Assistant II:
Under general supervision, this role provides clerical and administrative/secretarial support to a management level(s), and department or staff. Performs general office duties such as: answering and screening telephone calls, making appointments and scheduling meetings, processing mail and faxes, composing correspondence, collecting, compiling and analyzing information and data, providing information on inquiries, maintaining and updating office supplies, assisting in maintenance of department files, performing data entry and maintaining and updating department informational databases. May process expense reports/invoices, provide budget tracking support, handle confidential records and information and make travel arrangements. Uses discretion in making decisions regarding planning, organizing and scheduling work. Provides general typing and word processing support. Regularly uses computer software such as word processing, spreadsheets, graphics and presentation software.Administrative Assistant III:
Under general supervision, this role provides the highest level of clerical and administrative/secretarial support to a management level(s) and department or staff. Performs general office duties such as: answering and screening telephone calls, making appointments and scheduling meetings, processing mail and faxes, initiating and composing correspondence, collecting, compiling and analyzing information and data, performing higher level calculations and analyses, investigating questionable areas and making administrative decisions, maintaining and updating office supplies, assisting in maintenance of department files, performing data entry and maintaining and updating department informational databases. May process expense reports/invoices, provide budget tracking support, handle confidential records and information and make travel arrangements. Exercises considerable discretion in performance of duties and responsibilities. May provide guidance and assistance to less experienced office support staff. Provides typing and word processing support. Regularly uses computer software such as word processing, spreadsheets, graphics and presentation software.Required Knowledge, Skills, Abilities & Experience The knowledge, skills, abilities and experience required for entry into this job include the following:
Administrative Assistant I:
1+ years of directly related experience. Basic understanding of operation of computerized equipment and standard office equipment Basic skills in use of word processing, spreadsheet, graphics and presentation software Oral and written communication skillsAdministrative Assistant II:
3+ years directly related experience Ability to collect, compile and analyze information and data Ability to collect, compile and analyze information and data Good oral and written communication skills Proficient skills operating computerized and standard office equipment Proficient in use of word processing, spreadsheet, graphics and presentation software Understanding of company policies and procedures Some clerical/administrative experienceUnderstanding of SAP Administrative Assistant III:
5+ years of extensive clerical/administrative experience Ability to collect, compile and analyze information and data Strong oral and written communication skills High level of initiative and ability to exercise judgment and discretion Strong skills operating computerized and standard office equipment Excellent skills using word processing, spreadsheet, graphics and presentation software In depth knowledge and understanding of company policies, practices and procedures Strong planning and organizational skills Proficient in use of SAP Education Requirements Required degree (equivalency not accepted in lieu of required degree): High School Graduate , GEDLicenses, Certifications, or Quals Description Working Conditions Office Work Environment 76- 100%Travel Up to 25%Other Working Conditions Test Description This job requires recommended test results from SHL Microsoft Assessment(s) administered online during the employment selection process. - This test evaluates a candidate's ability to perform certain operations in a simulated environment of MS Excel, and includes the following topics: Applying Formulas and Functions, Creating and Analyzing Data, Formatting Cells, Data, and Content, Managing Workbooks and Worksheets, Presenting Data Visually, and Printing and Views. Microsoft PowerPoint
- This test evaluates a candidate's ability to perform certain operations in a simulated environment of Microsoft PowerPoint, and includes the following topics: Applying Transitions and Animations, Creating, Managing, and Saving Presentations, Formatting Presentation Content, Reviewing, Collaborating, and Delivering Presentations, and Working with Multimedia Elements, Images, and Illustrations.
