Job Description

St. Michael's Episcopal Day School (SMEDS), a co-educational Episcopal school serving 240 students in grades Preschool through 8, located in Carmichael, California, seeks an Administrative Assistant to provide general main office support with a variety of clerical activities and related tasks for the 2026-2027 year and beyond. We anticipate a start date of August 1, 2026.
Core Responsibilities:
Greet school visitors; maintain sign-in/out procedures. Answer telephones, note messages, and direct the callers to the appropriate extension. Receive, sort, and forward incoming mail. Maintain and route publications. Coordinate the pickup and delivery of express mail services (FedEx, UPS, etc.). Assist in the ordering, receiving, and distribution of school supplies and textbooks. Assist in the ordering of catering for school functions. Assist with other related clerical duties such as copying, scanning, filing, and collating. Generate certificates, programs, flyers, invitations, and other school communications. Assist with student and field trip documentation. Generate and maintain multiple schedules and calendars using Google Calendar. Troubleshoot office administration problems and assist with special projects as assigned. In partnership with the school nurse, administer routine first aid; dispense medication according to physician instructions and school policy; notify parents of ill or injured students as needed. (First Aid/CPR/AED training is required and provided by the school.)
Essential Skills and Attributes:
Commitment to modeling and upholding the school's mission and core values. Excellent interpersonal and communication skills, both verbal and written. Ability to interact effectively with all segments of the school community; maintain effective working relationships. Ability to work independently and to be flexible in changing work priorities. Ability to manage many tasks simultaneously and shift priorities accordingly. Knowledge of business English, both verbal and written. Knowledge of general office practices and operations. Excellent computer skills, including Google Docs, Word, Outlook, and Excel; basic online bookkeeping experience. Proficiency in using mainstream office systems: multi-line telephones, copiers, printers, voicemail, and e-mail. Ability to navigate and maintain school databases (training provided). Demonstrated organizational, problem-solving, and sound reasoning skills. Ability to maintain confidential information.
Hours of Work :
Monday through Friday, 8:00 am-4:00 pm when school is in session. Summer hours of work are generally Tuesday through Thursday, 9:00-1:00. (Determined each summer)

$28.00 - $33.00 per hour
