Responsibilities Serve as the first point of contact at the front desk, greeting visitors and clients with professionalism and warmth Handle scheduling and calendar management for project teams and executives using Google Workspace or Microsoft Office tools Perform data entry, filing, and document proofreading to ensure accuracy and organization of project files and administrative records Utilize QuickBooks for basic bookkeeping tasks such as invoicing, expense tracking, and financial record keeping Support office management tasks including supply inventory, mail handling, and maintaining a clean, organized workspace Provide customer support by responding to inquiries promptly, assisting with appointment setting, and ensuring client satisfaction through effective communication Qualifications Proven office experience with strong clerical skills in an administrative or secretarial role within the remodeling or construction industry preferred Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Experience with QuickBooks or similar accounting software for bookkeeping tasks Excellent organizational skills with keen attention to detail and ability to prioritize tasks effectively Strong typing skills with high accuracy; familiarity with data entry and proofreading processes Bilingual (Spanish & English) abilities is a requirement to assist diverse client needs and subcontractors. Exceptional phone etiquette skills along with experience managing multi-line phone systems Demonstrated ability to handle office management duties efficiently while maintaining professionalism under pressure This position offers an engaging environment where your administrative expertise supports our team's success.
