Job Description

Distinguished double board-certified Facial Plastic and Reconstructive/Otolaryngology Surgeon seeks an Administrative Assistant/Front Desk Coordinator to join dynamic concierge practice which focuses on sinus, sleep, and facial plastic surgery. Established 20 years ago with an "old school" culture where personalized care comes first, we are looking for a confident, compassionate, personable, team player that can provide our patients with the highest level of care. Our boutique practice has offices in New York City and Englewood, NJ. Our team focuses on delivering the highest quality medical and cosmetic concierge care. The philosophy is to provide every patient with an individual treatment plan based on his/her personal concerns and deliver the most natural surgical result possible. Key Responsibilities:
Patient support- Assist new patients and prospects by fielding inquiries, cultivate strong relationships with new and existing clientele, qualify and educate patients according to office protocols, schedule patient appointments including consultations surgical and non-surgical treatments and pre-and post-operative appointments, assist in practice growth efforts, understand patient's needs, document extensive and accurate notes in the computer system and checking in and out patients. Medical Proficiency - Ability to master efficiency and patient flow in a medical practice, display exceptional customer service skills and a strong understanding of such procedures as rhinoplasty, injectable fillers and Botox, sinus surgery, balloon sinuplasty, sleep apnea, etc., effectively handle a high volume of patient interactions concerning all procedures, experience in insurance benefits, verification, medical authorization and calling in prescriptions. Team support - Accurately and efficiently taking messages and sending them to the correct team member using team platforms like Weave and Mondays, participating in weekly team meetings and proactively taking on responsibilities to engage and educate patients and collaborate on team projects.
Knowledge, Skills and Abilities:
  • Experience with practice management software and word processing applications
  • Knowledge of medical software, such as MacPractice, Nextech, Patient Now, Modernizing Medicine, or Nex Gen is preferred but not required.
  • Strong computer and typing skills - typing no less than 40-55 wpm
  • Superior ability to understand patient concerns and handle them appropriately
  • Proven exceptional customer service and patient care experience
  • Present a friendly, caring, and welcoming manner to patients
  • Neat, professional appearance
  • Excellent multi-tasking skills, including the ability to prioritize and make changes quickly when necessary
  • Outstanding organizational and problem-solving skills with much attention to detail
  • Task orientation, timely completion of assignments, and an innate desire to "get things done"'
  • Strong written and communication skills
  • Must have exceptional telephone etiquette skills such as a pleasant greeting, clear speech, inviting tone and active listening
  • Ability to work independently and take the initiative
  • Must have strong sales and people skills
  • Self-motivated with willingness to exceed patient expectations
  • Ability to learn new concepts and ideas that match the practice's structure and brand
Qualifications and Experience:
  • High School diploma, required
  • Associate or bachelor's degree, preferred
  • 2-5+ years of work experience in a medical practice setting preferably in plastic surgery, cosmetic dermatology, or the concierge medicine field.
  • Luxury sales, customer service, or personal assistant experience, preferred
  • Prior experience with medical insurance billing, A MUST
  • Experience and an understanding of how to sell luxury items by appealing to luxury buyers.
  • Must be available to commute to New York City once a week (will be given a travel allowance).
  • Standard work week is 40 hours but must be available to work extra hours on days patients are seen later.
