About Us :
Boka Haven is a compassionate and dedicated assisted living community providing high-quality care and support to elderly residents. We are currently seeking an organized, detail-oriented, and friendly Administrative Assistant to join our team and help us maintain a smooth and efficient operation.Position Summary :
The Administrative Assistant will provide administrative support to the management team, staff, and residents. The ideal candidate will be a proactive individual with excellent organizational and communication skills, a passion for working with seniors, and the ability to multi-task in a fast-paced environment. This is for a part time position with every other week rotation, Monday-Friday 9 to 5.Key Responsibilities :
Greet visitors, residents, and family members in a professional and welcoming manner. Answer and direct phone calls, take messages, and respond to inquiries. Maintain and update resident records, ensuring confidentiality and accuracy. Assist with scheduling appointments, meetings, and events for staff and residents. Prepare and organize correspondence, reports, and documents. Order office supplies and maintain inventory. Coordinate with various departments to ensure smooth operations. Assist in the onboarding of new residents, including preparing necessary documentation and tours. Assist in managing resident billing, payments, and documentation. Ensure compliance with state regulations and facility policies. Perform other administrative duties as assigned.Qualifications :
High school diploma or equivalent; associate degree or higher preferred. Previous experience in an administrative or office support role is required (healthcare or senior care setting is a plus). Proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.). Strong verbal and written communication skills. Detail-oriented with excellent organizational and multitasking abilities. Ability to maintain confidentiality and handle sensitive information. Knowledge of basic office equipment (fax, copier, phone system, etc.). Positive attitude and a willingness to work as part of a team. Ability to interact with residents, family members, and staff in a professional and compassionate manner.Benefits :
