Job Description

Position Summary We are seeking a detail-oriented and proactive Administrative Coordinator to support our operations team. This role provides administrative support to the VP of Operations, Operations Managers, Supervisors, and Project Managers. The ideal candidate will also assist with general office operations, basic HR support, and coordination of internal events. Key Responsibilities Provide administrative support across the office and regional teams Enter and maintain project data, including new projects and change orders, in the accounting system Process invoices and purchase orders across various business lines (e.g., Security, Healthcare Technologies, Fire, etc.) Support weekly operations, including planning meetings, service paperwork reconciliation, and timesheet data entry Assist with vendor setup and request certificates of insurance as needed Coordinate office operations, including ordering supplies and maintaining common areas Support onboarding activities by assisting with new hire orientation and documentation Help plan and coordinate company events and employee engagement activities Perform research and assist with special projects as requested by leadership Maintain customer satisfaction follow-up processes and assist with surveys Support compliance by maintaining licensing records and registrations when applicable Perform additional administrative duties as needed Qualifications Strong customer service skills with the ability to communicate professionally and effectively Proficiency in Microsoft Outlook, Excel, and Word Excellent organizational and multitasking skills High attention to detail and accuracy Strong verbal and written communication skills Ability to collaborate and work effectively in a team environment Education & Experience High school diploma or equivalent required Previous administrative, office management, or related experience preferred Experience with vendor setup, licensing programs, or compliance processes is a plus Equal Opportunity Employer / Disabled / Protected Veterans The Know Your Rights poster is available here: https://www.eeoc.gov/sites/default/files/2023-06/22-088_EEOC_KnowYourRights6.12.pdf The pay transparency policy is available here: https://www.dol.gov/sites/dolgov/files/ofccp/pdf/pay-transp_%20English_formattedESQA508c.pdf For temporary assignments lasting 13 weeks or longer, the Company is pleased to offer major medical, dental, vision, 401k and any statutory sick pay where required.
