Job Description
Role Overview We are seeking a highly organized, proactive, and detail-oriented Administrative Insurance Coordinator to join our growing team. This position plays a vital role in supporting daily business operations by managing insurance renewals related to operations such as asset management, COI's, corporate auto liabilities and maintaining compliance documentation, and coordinating administrative processes across multiple departments. The ideal candidate thrives in a fast-paced environment, excels at managing competing priorities, and demonstrates exceptional organizational and communication skills. In this role, you will collaborate closely with internal teams, insurance carriers, vendors, and regulatory agencies to ensure accurate recordkeeping, timely renewals, and full compliance with company and industry requirements. This position may require limited overtime (not to exceed approximately 10 hours) during peak insurance renewal periods. Flexibility to respond to time-sensitive communications outside standard business hours during critical deadlines is expected. Key Responsibilities - but not limited to Insurance Renewals Coordinate annual insurance renewals and maintain accurate policy records. Track policy expiration dates and renewal submissions are completed on time. Request, manage, and distribute Certificates of Insurance (COIs). Maintain organized records of insurance policies, endorsements, and compliance documentation. Communicate with insurance brokers, carriers, and vendors regarding policy requirements and updates. Manage end-to-end insurance claims processing, including documentation, submission, and follow-up with carriers. All other duties as required to meet and maintain organizational goals and deadlines Administrative & Operational Support Manage and direct incoming calls by providing information, taking messages, and transferring calls to the appropriate department or personnel. Greet visitors and assist callers in a professional and courteous manner Maintain organized digital and physical filing systems. Prepare correspondence, reports, spreadsheets and documentation with strong attention to detail. Assist with scheduling, recordkeeping, and internal communication. Support operational projects and assist management with administrative tasks and company initiatives. Assist with general office administrative tasks and daily operations. Perform all other duties as assigned to support company operations and goals All other duties as required to meet and maintain organizational goals and deadlines Qualifications High school diploma or equivalent required; associate degree or related administrative experience preferred. 2+years of experience in insurance coordination, compliance, administrative support, or office management preferred. Strong organizational and time management skills with the ability to prioritize multiple tasks. Excellent written and verbal communication skills. Proficiency in Microsoft Office Suite, including Excel, Word, and Outlook, along with general office software systems. Ability to maintain confidentiality and handle sensitive information professionally. Strong attention to detail and problem-solving abilities. Ability to work independently and collaboratively within a team environment.
