(BL-MUS-IUBLA) Job Summary Department-Specific Responsibilities Manages the operational infrastructure of academic matters within the portfolio of the Executive Associate Dean (EAD), including, school initiatives, special projects, faculty matters, national and international faculty searches and the faculty appointment processes, ensuring policies and procedures are followed effectively, efficiently, and confidentially. Researches, executes, and manages the strategic, administrative, and research aspects of ongoing, cyclical, and one-off projects. Oversees complex administrative processes and communications supporting faculty data and fiscal reporting, coordinating, and liaising across multiple campus offices. Prepares full-time faculty offer documents, adjunct faculty appointment contracts, and calculates and verifies course full-time equivalent (FTE) and student load each semester. Advises and serves as close confidant of the EAD while also working closely with the Jacobs School of Music (JSoM) chairs, faculty, administrative directors, university administrators, including the Vice Provost of Faculty and Academic Affairs and Office of International Services, distinguished guests and dignitaries, students, and the public. Serves as policy expert ensuring compliance with university, federal, and state policies and laws. Ensures accuracy and efficiency in high-impact school matters. General Responsibilities Manages medium to large projects, from start to finish, ensuring on time completion within budget. Develops project plan(s) and efficiently analyzes, tracks, forecasts, and reports on project metrics and shortfalls. Coordinates and facilitates efforts of project team(s) consisting of various staff and hourly employees. Communicates ongoing changes in tasks, goals, or performance. Collaborates to ensure that project objectives are achieved within established time frames. Participates in client meetings, vendor/contract decisions, and development of project requirements and specifications. May provide guidance and support to less experienced peers. Qualifications Combinations of related education and experience may be considered. Education beyond the minimum required may be substituted for work experience. Required Bachelor's degree in a relevant field. Preferred Degree in music.WORK EXPERIENCE
Required 2 years of relevant experience. Preferred Higher education experience. SKILLS Required Ability to drive multiple projects to successful completion. Demonstrates project management skills. Proficient written and verbal communication skills. Excellent organizational skills. Excellent collaboration and team building skills. Demonstrates time management and priority setting skills. Highly thorough and dependable. Working Conditions / Demands This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus.
