role as our Outdoor Lighting Administrative Supervisor in our Little Canada, MN office.
Job Description:
The Outdoor Lighting (ODL) Administrative Supervisor is responsible for leading and overseeing the administrative and customer‑facing functions that support Xcel Energy's outdoor lighting and streetlight services. This role serves as a key liaison between the company, municipalities, and customers, ensuring timely response to community inquiries, accurate billing and contract management, effective maintenance coordination, and continuous improvement of operational processes. The position combines hands‑on administrative work with direct people leadership, including employee performance management, annual reviews, and timecard approval. The ODL Administrative Supervisor plays a critical role in enhancing urban illumination while supporting safety, reliability, customer satisfaction, and energy conservation initiatives.
Responsibilities:
Customer, Community & Municipal Support Supervise and directly support the resolution of customer and community inquiries related to streetlights, night watch maintenance, outages, repairs, and service requests. Respond to inquiries via email, phone, and in-person interactions, including those involving sensitive or escalated issues. Act as a primary point of contact for municipal officials, city engineers, and other external stakeholders. Ensure compliance with service level expectations and company policies in all customer interactions. Billing, Contracts & Financial Administration Oversee and perform analysis, correction, and processing of residential and commercial outdoor lighting bills. Coordinate with internal billing, finance, and operations teams to resolve discrepancies or customer disputes. Support inventory, cost tracking, and documentation related to lighting assets where applicable. Manage the contract process for new outdoor lighting installations, removals, and modifications, ensuring accuracy, completeness, and timeliness. Dispatch, Scheduling & Field Coordination Supervise daily dispatching and scheduling of outdoor lighting maintenance, repairs, re-lamping, and inspections for municipalities and private customers. Coordinate with field crews, supervisors, and contractors to ensure work is assigned, prioritized, and completed efficiently. Monitor workload volumes, service trends, and backlogs to balance resources and meet service commitments. People Leadership & Administrative Oversight Provide direct supervision of administrative and/or representative staff supporting the ODL function. Approve employee timecards, monitor attendance, and ensure compliance with company labor policies. Conduct annual performance reviews and provide ongoing coaching, feedback, and development support. Assist with onboarding and training of new employees, ensuring consistent knowledge transfer and procedural adherence. Process Improvement & Compliance Identify opportunities to improve administrative workflows, customer response processes, and data accuracy. Ensure compliance with company policies, procedures, safety standards, and regulatory requirements. Participate in cross-functional initiatives and continuous improvement efforts related to outdoor lighting services. Maintain accurate system records and documentation to support operational transparency and audits. Required Knowledge, skills & abilities Systems & Technical Skills Proficiency in Microsoft Office applications, including Excel and Word Working knowledge of company systems such as SAP, Customer Request System (CRS), and Mobility Work Management (MWM), or the ability to quickly learn them. Basic understanding of electrical systems, outdoor lighting infrastructure, and lighting technologies; familiarity with energy-efficient lighting options is preferred. Communications & Interpersonal Skills Strong verbal and written communication skills with the ability to interact professionally with customers, municipal officials, and internal stakeholders. Proven ability to manage difficult customer situations and de-escalate concerns effectively. Demonstrated leadership skills to guide staff, set expectations, and drive accountability. Qualifications Education High school diploma or equivalent required; post- high school education or coursework preferred. Experience Prior experience in a high-volume office, customer service, administrative, or inventory management environment required. Previous experience in a utility, field support, infrastructure, or public service-orientated environment strongly preferred. Supervisory or lead experience, including performance management and timecard approval, is highly desirable. Working Conditions Full-time, in-office position with regular business hours; occasional schedule flexibility may be required to support operational needs. Frequent interaction with customers, municipalities, and internal teams. Primarily office-based with coordination across field operations.

Compensation:
$32-$38/ hour (Compensation will depend on qualifications and experience.)
