This role requires a highly organized, proactive, and detail-oriented professional to streamline operations across multiple areas, ensuring efficiency and alignment with the principals' goals.
Key Responsibilities:
Strategic & Financial Management Develop and execute long-term operational strategies aligned with company objectives. Analyze and improve existing processes to maximize productivity and cost-effectiveness. Oversee operational budgets, forecasting, and cost control. Establish and monitor key performance indicators (KPIs) to track operational effectiveness. Team Leadership Manage and supervise operational teams, including hiring, training, and performance evaluations. Compliance, Insurance and Vendor Management Ensure adherence to relevant regulations and industry standards. Negotiate contracts and manage relationships with suppliers and vendors. Coordinate with brokers on insurance coverage for new acquisitions (real estate, vehicles, art, etc.) and review policies regularly. Personally manage insurance for ongoing asset changes. Estate, Property & Asset Management Oversee maintenance of all properties. Manage collection inventories, installations, moving, storage, registration, and record management for collections. Guest Relations & Concierge Services Oversee hospitality and guest relations. Manage guest inquiries, reservations, check-in/check-out processes, and feedback. Provide concierge services to principals and respond to inquiries requiring discretion and confidentiality. Event planning for philanthropic and personal hospitality events. Household Management Assist principals with personal tasks upon request (e.g., dog walking, grocery shopping, scheduling). Oversee private chefs, including meal planning, menu development, deliveries, and nutrition oversight. Ensure quality, cost-efficiency, and sourcing standards are met for meals and catering. Nanny coordination/scheduling (find, hire/fire). Elder Care Services (research, EC attorneys, care providers). Administrative & Record Keeping Coordinate calendars for principals and staff and vendors Implement solutions to streamline administrative functions. Troubleshoot operational issues and implement strategic improvements.
Required Skills/Abilities:
Experience managing large estates or multiple personal residences. Excellent management and supervisory skills. Excellent written and verbal communication skills. Excellent organizational and time management skills. Proficient in accounting and tax preparation software. Proficient in Microsoft Office Suite or similar software.
Education and Experience:
Bachelor's degree required. Eight years or more of related experience required.
Physical Requirements:
Prolonged periods sitting at a desk and working on a computer. Must be able to lift 15 pounds at times.
Salary Range:
$150,000.00 to $250,000.00 per year.
Pay:
$150,000.00 - $250,000.00 per year
