This position oversees the efficient operation of the department's administrative and clerical support functions and works closely with the Director of Inspectional Services and inspectors to coordinate permitting activities. Responsibilities include assisting the public and contractors with permit procedures, explaining required departmental sign-offs, monitoring permit applications through the review process, reviewing work as needed, and troubleshooting administrative support issues for the Director of Inspectional Services.
Supervision:
Works under the general direction of the Director of inspectional Services. Works with minimum supervision performing a variety of responsible functions requiring the exercise of judgment, discretion and tact in coordinating the activities of the department and in relieving the Director of inspectional Services of certain administrative duties and responsibilities.
Essential Functions:
Oversees the orderly operation of the Building Department; works closely with the Director of Inspectional Services and Inspectors to coordinate administrative and clerical support of departmental functions. Assists the general public in the office and by telephone by furnishing a variety of information, determining the nature of the service required and making appropriate referrals; conducts research as requested. Provides support in relaying to the general public and contractors the procedure forsecuring permits and signoffs in other departments; follows up on permitting sequence for all applications; checks work asrequired and troubleshooting support problems forthe Director of Inspectional Services. Ensures all required documents, plans and fees are submitted and directs the applications to appropriate departments for review. Acts as the main point of contact for developers, homeowners, and contractors regarding permit status and requirements. Provide guidance on local codes and permit requirements; remain up-to-date with local building codes, zoning laws and regulations to ensure permits are in compliance. Track the progress of permits through various review stages; maintain accurate records and logs of permit applications and approvals. Coordinate inter-departmental communications to minimize delays. Issue approved building permits after all conditions and reviews are completed; provide official copies of permits and approved plans to applicants. Assists with training new applicants and contractors on permit portals. Performs similar or related work as required or as situation dictates
Education and Experience:
Associate's degree in business management or related field; five years responsible experience in permitting and secretarial work; or equivalent combination of minimum 30 credits towards an Associate's degree in business management with minimum seven years' experience in permitting
