• Full-Time/Regular Position Summary The administrative services manager is responsible for helping the division run smoothly and efficiently and is responsible for much of the paperwork, policy and office supervision. Their job is to plan and coordinate the regular function of administrative services, identify problems, help formulate solutions and implement new approaches to streamline these services and make them more efficient. Position Details Provide direction and leadership to the admin staff responsible for administration, and division office services functions at the corporate offices. Directly manage either through internal teams or external service - provides all space planning, renovations and construction projects, and marketing services. Collaborate with vendors, architects and leadership to ensure facility meets needs of the growing business Oversee the lifecycle of contracts and maintain organized records of all contracts and related correspondence. Provide contract support to several departments including preparation of invoices, filing, transmitting agreements and managing client's electronic database systems. Plan in-house or off-site activities and events. Support Operations Leader in various tasks such as project documentation management, setting up project meetings and liaising with field leadership and employees for tasks as needed. Manage, maintain and order new hire and divisional swag as needed. Manage security systems across the division and oversee contractors responsible for system maintenance. Hire and develop a team of office administrative staff. Coordinate agendas, meeting materials and logistics and meeting flow for the divisional leadership team. Liaise with internal departments to ensure divisional communications are managed and sent out accordingly. Qualifications 10 years of experience in executive support and office management.
