About Volunteer Lawyers Network Volunteer Lawyers Network (VLN) connects low-income Minnesotans with free legal help through a network of volunteer attorneys and staff advocates. Position Summary The Administrative and Finance Director is a senior leadership role responsible for the human resources infrastructure, financial oversight, and day-to-day operational excellence of VLN. Reporting directly to the Executive Director, this position is responsible for executing and overseeing core HR, payroll, and administrative functions. On the finance side, the Administrative and Finance Director works in close partnership with VLN's outside accountant, providing oversight, coordination, and organizational follow-through rather than serving as a sole practitioner accountant. The Administrative and Finance Director supervises one direct report Administrative Assistant and plays a key role in shaping organizational strategy and culture. This role is well suited for a hands-on, people-centered generalist who is strong in HR and operations, comfortable with financial management in a nonprofit context, is comfortable with technology, and thrives in a mission-driven, collaborative environment. Key Responsibilities Human Resources Lead and administer all HR functions, including recruitment support, onboarding, offboarding, performance management, and employee relations — in collaboration with the Executive Director. Maintain and update the employee handbook, HR policies, and compliance practices in accordance with applicable federal and Minnesota law. Conduct annual benefits review, negotiation, and administration; maintain all benefits programs including medical, dental, flexible spending, life insurance, disability, retirement, and transit. Participate in communications and negotiations with employee bargaining unit. Administer all payroll functions, including the payroll system, PTO and attendance records, W-4 and tax records, and compensation allocations. Serve as a resource and first point of contact for staff on HR questions, employee complaints, and grievances; support managers in addressing performance and disciplinary matters. Maintain accurate personnel files and ensure all required documentation is completed and properly filed. Foster a workplace climate that attracts, retains, and motivates a diverse, high-performing team; champion staff development through group activities, the annual retreat, and individualized development plans. Finance & Accounting Partner with VLN's outside accountant to maintain accurate financial records, including general ledger, accounts payable and receivable, cash receipts and disbursements, bank reconciliations, and tax reporting. Serve as the primary internal liaison with the outside accountant; ensure timely delivery of financial information and reports to the Executive Director and Board of Directors. Assist the Executive Director and program staff in developing program and organizational budgets; support Directors and Program Managers in preparing financial documentation for grant applications and reports. Coordinate the annual financial audit in partnership with the outside accountant; maintain fiscal policies, procedures, and internal controls. Oversee IRS filings and regulatory requirements, including W-2s and 1099s, in coordination with the outside accountant; maintain effective relationships with banks and financial institutions. Monitor cash flow and flag financial issues or trends to the Executive Director regularly. Prepare and provide monthly grant budgets to legal supervisors who oversee grants. Recommend and implement improvements to financial systems and workflows to strengthen organizational performance. Operations and Technology Oversee office management, including relationships with the landlord, vendors, and suppliers. Oversee equipment purchases and work to ensure that rates are competitive and to identify cost-saving opportunities. Manage organization-wide technology, including vendor relationships, technical support, and implementation of technology projects. Maintain all organizational insurance policies (workers' compensation, professional/employee liability, employment practices); purchase and oversee equipment and office supplies. Staff Supervision Directly supervise the Administrative Assistant; set clear performance goals, conduct regular check-ins, and provide ongoing feedback and support. Delegate appropriate day-to-day administrative and facilities tasks to the Administrative Assistant, while personally executing the director-level functions in finance, HR, payroll, and operations. Support the Administrative Assistant's professional development and ensure their work is well-integrated with broader organizational operations Organizational Leadership Serve as a member of VLN's executive leadership team, contributing to organization-wide decision-making, strategic planning, and a collaborative leadership culture. Partner with the Executive Director to develop agency-wide goals in alignment with VLN's mission, vision, and strategic plan. Actively participate in and staff the Board's Internal Affairs Committee; support board member engagement and activities. Assist with planning organization-wide events including the annual staff retreat and the annual fundraising celebration. Perform other duties as assigned by the Executive Director. Qualifications Required Bachelor's degree in human resources, business administration, nonprofit management, or a related field — or equivalent professional experience. Minimum 5 years of progressively responsible experience in nonprofit or organizational operations, with meaningful responsibility for HR and administrative functions. Strong working knowledge of HR practices, employment law, and employee relations. Experience administering payroll functions, including a payroll platform such as ADP; comfort managing PTO, tax records, and compensation allocations. Comfort with nonprofit financial management, including budgeting, financial reporting, and coordination with an outside accountant; prior accounting experience is a plus but not required. Proven supervisory experience with a collaborative, people-centered management approach. Proficiency with Microsoft Office Suite. Strong organizational skills with exceptional attention to detail and the ability to manage multiple priorities. Excellent written and verbal communication skills; ability to present HR and financial information clearly to diverse audiences. Commitment to VLN's mission and values, including equity, inclusion, and access to justice. Preferred Experience in a legal services, social services, or advocacy-focused nonprofit organization. Experience with accounting software such as QuickBooks. Experience managing or overseeing technology infrastructure in a small to mid-size organization. Knowledge of Minnesota-specific employment practices. PHR, SPHR, or
SHRM-CP/SCP
certification. Experience working in a unionized workplace.
