We are seeking a highly organized and proactive Administrative Manager to support day-to-day operations and help ensure the firm continues to operate efficiently and effectively. Position Summary The Administrative Manager serves as the operational backbone of the firm. This role provides administrative, organizational, and project support across multiple areas of the business, including office management, executive scheduling, client administration, vendor coordination, project tracking, and internal operations. This position requires approximately 20 hours per week in our Montgomery office , with up to 5 additional flexible hours that may be completed remotely based on workload and business needs. Key ResponsibilitiesOffice & Operations Management Maintain organized digital and physical filing systems Manage daily office operations and administrative processes Coordinate with vendors, service providers, and business partners Support implementation and maintenance of operational systems and workflows Track software subscriptions, vendor agreements, renewals, and key deadlines Maintain document templates and internal organizational resources Executive & Calendar Support Manage calendars, scheduling, and meeting coordination for firm leadership Prepare agendas, meeting materials, and presentation documents Draft, proofread, and format professional correspondence and internal communications Assist with email management and communication workflows Coordinate travel, meetings, and event logistics as needed Client & Project Administration Organize client files and project documentation Track deadlines, deliverables, and project milestones Coordinate document collection, routing, signatures, and submissions Assist with grant applications, compliance reports, and supporting documentation Maintain accurate records for active client engagements Finance & HR Coordination Coordinate with the firm's Finance Manager regarding invoices, payroll processing, and administrative deadlines Track outstanding administrative items and communicate priorities to leadership Assist with onboarding logistics and administrative setup for new hires Maintain organized insurance, vendor, and personnel records Support HR-related administrative functions as assigned Research & Knowledge Management Conduct research on grant opportunities, federal funding programs, compliance updates, and policy developments Assist with development and organization of internal templates, playbooks, and knowledge resources Support operational improvements and process documentation initiatives Utilize AI productivity tools such as ChatGPT and Claude AI to improve efficiency, drafting, research, and administrative workflows Required Qualifications Minimum of 3 years of experience in office management, executive assistance, administrative coordination, or a related role Strong proficiency with Google Workspace (Gmail, Calendar, Drive, Docs, Sheets) Proficiency with Microsoft Office Suite and Adobe Acrobat Excellent written and verbal communication skills Exceptional organizational skills and attention to detail Ability to prioritize tasks and manage multiple deadlines independently Demonstrated professionalism and discretion when handling confidential information Reliable transportation and ability to work in-office in Montgomery, Alabama Preferred Qualifications Experience supporting a consulting firm, nonprofit organization, professional services firm, or government-facing organization Familiarity with grant administration, compliance reporting, or public-sector projects Experience with QuickBooks, ADP, ClickUp, ShareFile, or similar platforms Experience in a fast-paced, project-based environment Associate's or Bachelor's degree in Business Administration, Public Administration, Communications, or a related field Familiarity with AI productivity platforms such as
ChatGPT and Claude AI Compensation & Employment Details Hourly Rate:
$20.00-$30.00 per hour, based on experience

Up to 25 hours per week

Not included Introductory Employment Period All new hires begin with a three-month introductory period. During this time, both the employee and the firm will evaluate overall fit, responsibilities, performance expectations, and working relationships.
