Overview We are seeking a dynamic and highly organized Firm Administrator to lead the daily operations of our professional office environment. This vital role combines administrative excellence with team leadership, ensuring the firm runs smoothly, efficiently, and professionally. The ideal candidate will thrive in a fast-paced setting, demonstrating exceptional communication skills, keen organizational abilities, and a proactive approach to office management. Duties Oversee all administrative functions, including scheduling appointments, managing calendars, and coordinating meetings to ensure seamless daily operations. Manage vendor relationships, negotiate contracts, and oversee procurement of office supplies and services to maintain operational efficiency. Coordinate event planning for client meetings, seminars, or firm-wide gatherings to promote engagement and professional development. Maintain accurate bookkeeping records, process invoices, track expenses, and assist with budgeting activities to ensure financial health of the firm. Oversee front desk operations including multi-line phone systems, phone etiquette, greeting visitors, and managing incoming correspondence with professionalism. Ensure compliance with office policies and procedures while maintaining confidentiality of sensitive information. Support office management tasks if applicable, including filing systems and document management protocols. Skills Proven experience in office administration or management within a professional setting. Strong supervisory skills with experience leading teams effectively. Excellent communication skills—both verbal and written—to interact confidently with clients, vendors, and staff. Exceptional organizational skills with the ability to prioritize tasks efficiently in a busy environment. Experience in vendor management to coordinate external services smoothly. Skilled in calendar management using digital tools; adept at scheduling multiple priorities simultaneously. Office experience involving clerical tasks like filing, data entry, and front desk responsibilities. Familiarity with multi-line phone systems and phone etiquette standards. Ability to manage office supplies inventory and oversee general office maintenance needs effectively.
