About the role The Bridge is seeking an organized, service-oriented HR & Administrative Coordinator to support our employees and strengthen the administrative systems that enable our therapeutic mission. Reporting to the Director of Finance and Administration, this position manages day-to-day human-resources and office-administration operations across the organization. The successful candidate will bring strong payroll and benefits experience, excellent judgment with confidential information, a practical understanding of employment-law compliance, and the ability to manage multiple priorities in a mission-driven environment. Job Responsibilities / Essential Functions Manage the full employee lifecycle, including job postings, applicant tracking, interview coordination, offer letters, new-hire onboarding, orientation scheduling, and offboarding/exit interviews. Process bi-weekly payroll accurately and on time, including hours, overtime, deductions, garnishments, and off-cycle adjustments; serve as primary liaison with the payroll provider. Lead annual open enrollment and year-round benefits administration (medical, dental, vision, retirement, life, and voluntary benefits), including vendor coordination, employee education, and enrollment troubleshooting. Maintain accurate, compliant, and confidential personnel files and HRIS records in accordance with HIPAA, state, and federal recordkeeping requirements. Provide oversight and support to the billing function, partnering with the billing team to monitor timely and accurate claims submission, troubleshoot billing/payroll discrepancies, and support audit readiness. Assist in and collaborate with the accounting team on the submission of grant invoices and monitor contract utilization. Administer and help update employee handbooks, job descriptions, and HR policies and procedures, ensuring consistency with applicable labor laws and funding/licensing requirements. Ensure compliance with FLSA, FMLA, ADA, EEOC, and other applicable federal and Alabama state employment regulations; monitor and respond to changes in employment law. Manage workers' compensation claims, unemployment claims, and leave-of-absence requests from intake through resolution. Serve as a point of contact for employee relations matters, including investigating and helping resolve workplace concerns, conflicts, and grievances in coordination with leadership. Support performance management processes, including evaluation scheduling, documentation, and guidance to supervisors on performance improvement plans. Oversee general office administration including vendor and facilities coordination, supply procurement, and administrative support to leadership. Assist with HR metrics and reports (turnover, time-to-fill, benefits utilization, payroll costs) for leadership. Support grant, licensing, and accreditation audits by providing accurate personnel, payroll, and benefits documentation as required. Maintain strict confidentiality of employee, client, and organizational information at all times. Provide oversight to and lead all Admin Departments on a daily basis. Promote a positive and healthy work environment that encourages teamwork and a welcoming spirit. Required Knowledge, Skills, and Abilities Minimum of 3-5 years of management experience required. Minimum of 3-5 years of progressive HR and administrative experience, including payroll and benefits administration; nonprofit, healthcare, or behavioral health experience preferred. PHR, SHRM-CP, or other recognized HR certification preferred. Working knowledge of payroll systems and HRIS platforms (e.g., ADP, Paychex, Paycom, or similar). Solid understanding of federal and Alabama employment law, including FLSA, FMLA, ADA, and EEOC requirements. Familiarity with healthcare or behavioral health billing processes sufficient to provide meaningful oversight; direct billing/coding certification not required. Strong organizational skills with the ability to manage multiple priorities, deadlines, and confidential matters across multiple program sites. Excellent interpersonal and written communication skills, with the ability to interact professionally with staff at all levels, vendors, and regulatory bodies. Proficiency in Microsoft Office (Word, Excel, Outlook, Google Workspace) and comfort learning new HRIS, payroll, and billing software systems. High degree of integrity, discretion, and sound judgment when handling sensitive employee and organizational information. Valid driver's license and reliable transportation; ability to travel periodically to program sites across the organization's service area.
