Job Description
This position is responsible for coordinating administrative and personnel functions for the department. Job duties consist of related administrative duties. Successful performance contributes to the efficiency and effectiveness of those operations. FLSA status is Non-Exempt.
The following duties are normal for this classification. PERSONNEL SUPPORT DUTIES
(45%) E nsures that all time and attendance records are entered properly and submitted for processing. M onitors leave time and leave requests. P repares personnel action forms. S chedules physicals for department personnel. A ssists Human Resources staff in administering workers' compensation claims. A ssists in developing and updating job descriptions. T racks employee performance appraisals for the Fire Department. A ssists in orienting and training department personnel; participates in the discipline process of department personnel. R esponds to employee questions regarding benefits and personnel policies; serving as the HR Liaison to the Fire Department.RECRUITMENT AND SELECTION DUTIES
(25%) A ssists in screening job applications; developing interview schedules; coordinating interview boards; scheduling and administering testing. C onducts departmental new hire orientation. S chedules facilities for examinations and interviews. P erforms data entry for new hires and exits.PROMOTIONAL PROCESS SUPPORT DUTIES
(20%) P articipates in developing selection processes to include written exams, role-play exercises, and oral interviews. A ttends tests development sessions. C oordinates the administration of promotional testing assessments. P repares testing packets. S ecures test sites and assist in administering tests. D isassembles testing materials upon completion.OTHER RELATED DUTIES
(10%) P rocesses purchase order requests, receipts and reconciles accounts for the department as needed. R eceives and distributes mail. P erforms other duties as needed or assigned. B achelor's degree in Human Resources or four (4) years of personnel/payroll responsibilities. M ust have above average skill in the use of Microsoft Windows, Microsoft Office, including Word and Excel and the ability to adapt to other software. M ust be able to adapt to a changing environment and handle multiple priorities.The following requirements are normal for this classification. City of Prattville employees are required to obtain knowledge of the City of Prattville Policies and Procedures, and knowledge of their specific department rules, policies, and procedures. K nowledge of file management principles. S kill in prioritizing and organizing work. S kill in the provision of customer services. S kill in the maintenance of files and records. S kill in the use of such office equipment as a computer, scanner, fax machine, and copier. S kill in oral and written communication.SUPPLEMENTAL INFORMATION
M ust provide proof of your legal right to work in the United States. H igh School Diploma/GED is required. M ust possess and maintain a valid driver's license. W illing to work overtime. W illing to cooperate with the workload of the department. W illing to attend continuing education courses. W illing to comply with City of Prattville rules and regulations. M ust submit to drug screenings for this safety sensitive position. M ust be able to effectively and efficiently utilize Microsoft Word and Excel, and any software programs utilized in coordination with the job.
