Description We are seeking a detail-oriented and organized Temporary Fleet Coordinator to support daily fleet operations for a busy organization in Azusa, CA. The Fleet Coordinator will assist with vehicle scheduling, maintenance tracking, vendor coordination, recordkeeping, and ensuring compliance with company and safety standards. This role requires strong administrative skills, communication abilities, and the ability to thrive in a fast-paced environment. Key Responsibilities + Coordinate daily fleet activities including vehicle assignments, scheduling, and usage tracking + Maintain accurate records for inspections, registrations, insurance, fuel logs, and maintenance schedules + Schedule preventative maintenance and repairs with vendors and service providers + Monitor fleet compliance with company policies and safety regulations + Track vehicle downtime and assist with resolving operational issues efficiently + Communicate with drivers, departments, and vendors regarding fleet needs and updates + Process invoices, purchase orders, and related fleet documentation + Prepare reports and maintain spreadsheets related to fleet operations and expenses + Assist with inventory management of fleet-related supplies and equipment + Provide general administrative support to operations and transportation teams Requirements
At least 3 years of experience in an administrative support or coordination role.
Demonstrated ability to manage calendars, scheduling, and high-volume administrative tasks.
Experience handling inbound phone communication with professionalism and strong customer service skills.
Familiarity with document management, including scanning, uploading, and maintaining organized records.
Knowledge of fleet administration, vehicle documentation, or related insurance processes is preferred.
Proficiency in standard office software and general computer-based administrative systems.
Strong attention to detail, organization, and the ability to manage multiple priorities effectively.
