The ideal candidate will possess professional fluency in English and Mandarin and have the ability to manage complex cross-border documentation and technical workflows. 1.
General Administration & Taiwan HQ Liaison Bilingual HQ Coordination:
Act as the primary linguistic bridge for the Taiwan office, reviewing and verifying departmental documents in Mandarin to ensure accuracy and compliance before submission to headquarters.
Departmental Support:
Assist US-based Project Managers and Sales teams with essential financial and administrative documentation, including purchase requests, fund requests, and travel expense claims.
Facility & Vendor Management:
Serve as the main point of contact for all facility vendors (A/C, pest control, utilities, janitorial) and maintain strong professional relationships with business park management and infrastructure providers.
Reception & Guest Management:
Greet international and local guests with professionalism, manage visitor security protocols, and oversee all mail and courier logistics. 2.
Strategic Operations & Financial Management Financial Administration:
Record and manage daily business financial transactions, including petty cash, vendor invoices, and meal expenses.
Insurance & Claims Management:
Lead the renewal process for commercial, vehicle, and umbrella insurance. Review complex terms for final Headquarters approval and manage high-stakes insurance claims, such as those related to infrastructure theft or damage.
Contract Negotiation:
Proactively negotiate with vendors to ensure cost savings and service quality. (e.g., successfully managing rate increases and securing refunds for overcharges). 3. Technical Sample & Inventory Logistics System Management (PLM): Manage the entry and tracking of all incoming technical samples in theProduct Lifecycle Management (PLM) system to ensure traceability.
Inventory Optimization:
Strategically organize the sample room by assigning shelf numbers in the PLM system and auditing inventory for return or disposal to maximize space utilization.
Client Logistics Support:
Provide logistics guidance for major clients to resolve shipping issues and manage professional returns and pickups. 4.
Equipment & Instrument Compliance Compliance Oversight:
Maintain the master instrument validation tracking list and provide timely reminders to the engineering team to ensure equipment remains within calibration standards.
Technical Document Control:
Manage calibration reports from third-party vendors, facilitate necessary signatures from engineering supervisors and quality managers, and archive finalized reports in the company system.
New Equipment Integration:
Oversee the digital recording of all new testing equipment to ensure future tracking and validation accuracy. 5.
Additional Support Ad Hoc Tasks:
Perform other duties and additional ad hoc tasks as may be assigned by the manager from time to time to support the needs of various departments.
Requirements Language Proficiency:
Bilingual fluency in Mandarin Chinese and English is required. Must be able to read, write, and speak professionally in both languages to facilitate daily coordination with Taiwan-based departments.
Technical Skills:
Digital document archiving, and the Microsoft Office suite.
Negotiation & Problem Solving:
Proven ability to negotiate vendor contracts and handle complex logistics or insurance claims independently.
Education:
High School or Community College graduate; professional experience in a bilingual operations or technical administration role is highly preferred.
Professionalism:
Strong communication skills and the ability to maintain client satisfaction during unexpected visits or high-pressure transit deadlines.
